Reports to: Executive Director Position Type: Part-time (approx. 10hrs/week, flexible schedule) Location: Remote/work-from-home

Position Summary

The Executive Assistant provides essential support to ensure the smooth operation of day-to-day activities within the organization. This role includes managing communications and course schedules, maintaining records, and supporting the team with general administrative tasks.

Key Responsibilities


• Serve as the first point of contact for general inquiries via email
• Schedule meetings, maintain calendars, and prepare meeting materials
• Maintain registration system – keeping schedule of workshops and seminars current,

posting new workshops/seminars, and monitoring registrations
• Maintain organized digital filing systems
• Assist with client communications and requests
• Assist with donor communications, including thank-you letters and database updates
• Help coordinate events, workshops, and volunteer activities
• Order and maintain office, marketing, and workshop/seminar supplies
• Provide administrative support to the Executive Director and Board as needed
• Ensure compliance with internal policies and procedures

Qualifications


• Proven administrative or office assistant experience
• Strong organizational and time management skills

• Excellent written and verbal communication skills
• Ability to handle confidential information with discretion
• Comfortable working independently and as part of a small team
• Familiarity with non-profit environments is an asset
• Familiarity with:

o Office 365 (Word, Excel, PowerPoint, Teams) o SharePoint o Google drive o Mailchimp o Booking software such as Bookeo
