Why This Role Matters
As Executive & Administrative Assistant, you will support Hope and Healing International’s Leadership Team (LT) and the Board of Directors maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment. The position also supports the Chief Finance & Administration Officer in managing day-to-day facilities and administrative tasks.
Employment status: Salaried, Full-Time 35 hours per week. (This posting is for an existing vacancy)
Salary: $50,000 – $60,000 + Benefits & RRSP
Location: 1600 16th Ave - Unit 1, Richmond Hill, Ontario
What You’ll Do
You will provide high-level administrative and organizational support in a charitable, mission-driven organization, including:
Executive & Leadership Support
- Manage complex calendars, correspondence, travel arrangements, and expense reports for the Executive Director (ED) and Leadership Team (LT).
- Provide day-to-day administrative support, including preparing correspondence and compiling documents and materials for meetings.
- Coordinate Leadership Team meetings by preparing agendas, documenting meeting summaries, tracking action items, and following up as needed.
- Communicate with staff on behalf of the ED and LT, and coordinate logistics for staff meetings, events, and devotions.
- Support the Executive Director’s external commitments related to Hope and Healing, including service on boards, committees, and professional networks.
Board & Governance Support
- Serve as the primary administrative liaison to the Board of Directors.
- Coordinate quarterly Board meetings and related events.
- Prepare, compile, assemble, and distribute Board and committee materials.
- Support Board committees with administrative coordination and documentation.
- Arrange travel and hotel accommodations for out-of-town Board members and process travel reimbursement requests.
- Maintain and administer the cloud-based Board portal application (BoardEffect).
Office & Operations Support
- Maintain confidential files, records, and contact information with discretion and accuracy.
- Arrange complex international travel, itineraries, and agendas for overseas travelers.
- Provide front desk support as needed, including answering phones, receiving deliveries, and welcoming and signing in visitors and guests.
- Assist with general administrative and workplace office duties and act as liaison with the property manager.
- Participate as an active member of the Workplace Wellness Committee and the Joint Health & Safety Committee.
- Assist with special projects and other administrative responsibilities as required.
Our ideal candidate would have:
- Bachelor’s degree or an equivalent combination of education and experience.
- 5–10 years of experience providing senior-level administrative support, preferably in a nonprofit or mission-driven organization.
- Strong organizational skills with the ability to manage and prioritize multiple tasks seamlessly and with excellent attention to detail.
- Demonstrated ability to work effectively with a broad range of stakeholders, including major donors, Board members, and staff.
- Excellent written and verbal communication skills, including strong writing, editing, grammar, research, and document preparation abilities.
- Project management skills, with the ability to track deadlines and coordinate multiple initiatives.
- Ability to work independently, exercise sound judgment, and handle sensitive information with professionalism and discretion.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and general Windows-based applications.
- Experience with fundraising databases or donor management systems is an asset.
- Previous experience in a nonprofit or charitable organization is considered an asset.
Working conditions and other requirements:
- Hybrid work environment, with the ability to work from the office and remotely.
- Work from home up to two days per week, based on organizational needs.
- Standard office environment when working on-site.
- Occasional domestic travel may be required.
- Occasional international travel, including travel to developing countries, may be required.
- Availability to work occasional evenings and weekends to support Board meetings and organizational activities.
