Location: The Lung Health Foundation is based in Toronto and operates in a hybrid model, in which staff are required to work at the office a minimum of two days each week with occasional travel within Ontario and across Canada as required.

Salary range: $62,000 - $68,000

POSITION OVERVIEW

The Events & Production Specialist supports the planning and execution of the LHF’s in-person events, internal gatherings, and branded activations. Working as a key member of the Marketing team and in collaboration with cross-functional colleagues, this role helps deliver consistent, high-impact experiences that reflect the organization’s brand and engage diverse audiences.

Under the guidance of the Vice President, Marketing & Communications, the Specialist plays an essential role in ensuring all events and production moments are executed with professionalism, creativity, and precision. Success in this position requires strong project coordination skills, a solutions-oriented mindset, and the ability to balance strategic planning with on-the-ground logistics.

Key areas of focus include:

  • Coordinating the logistics and execution of in-person and hybrid events, internal meetings, and external activations
  • Supporting brand-aligned production days, including video and photo shoots
  • Managing relationships with vendors, venues, and production partners
  • Contributing to event planning processes, timelines, and post-event evaluations

The Specialist will work collaboratively across departments to ensure events are inclusive, aligned with LHF’s goals, and continually optimized based on feedback and performance insights.

RESPONSIBILITIES

The Events & Production Specialist will lead the planning and execution of events and branded activations across the organization, supporting a range of priorities from fundraising to advocacy to internal engagement.

Key responsibilities include:

  • Coordinating end-to-end logistics for key LHF events, including Better Breathing Week Conference, The Social, Golf Tournament, summits, and community engagement events
  • Supporting political engagement moments such as Provincial and Federal Lobby Day receptions in partnership with the Public Affairs team
  • Managing onsite execution, including venue coordination, AV, catering, signage, and run-of-show logistics
  • Collaborating with internal teams to align agendas, confirm staffing, and manage timelines
  • Maintaining detailed workback schedules to ensure all deliverables are met on time

Community Engagement & Brand Presence

The Specialist will help expand LHF’s footprint in community-based events and public-facing opportunities.

Key responsibilities include:

  • Supporting the setup and execution of LHF booths at festivals and third-party events (future growth area)
  • Ensuring brand presence is visually consistent, engaging, and reflective of LHF’s values
  • Liaising with external partners and festival organizers to coordinate LHF participation
  • Managing onsite staffing and volunteer support as needed

Internal Events & Brand Stewardship

The Specialist will support key internal moments and ensure brand consistency across all touchpoints.

Key responsibilities include:

  • Providing logistical support for internal events including Culture Days, Quarterly Updates, and Board Meetings/AGMs
  • Acting as a brand steward at conferences and external events to maintain alignment with LHF’s tone, message, and visual identity

Production & Content Development

The Specialist will play an important role in the planning and execution of production days to support LHF's MarComm team and content strategy.

Key responsibilities include:

  • Supporting logistics for branded content creation days such as COPD Live and Lung Cancer Live
  • Coordinating scheduling, locations, equipment, and talent requirements for photo and video shoots
  • Managing day-of production logistics to ensure a smooth and effective experience for all involved

Swag & Branded Materials Management

To support both outreach and internal events, the Specialist will:

  • Manage ordering, inventory, and distribution of LHF-branded swag and materials
  • Ensure materials are stocked, aligned with brand standards, and deployed strategically

Raffle & Onsite Support (Event-Based Only)

The Specialist will assist in the execution of on-site fundraising moments such as raffle draws.

Key responsibilities include:

  • Supporting day-of event raffle logistics, including ticketing and winner announcements in partnership with the Fund Development team

Budget Tracking & Cross-Team Coordination

The Specialist will ensure smooth collaboration across departments and with external partners to bring events to life.

Key responsibilities include:

  • Tracking and managing event-related budgets in alignment with organizational priorities
  • Acting as a central coordination point for logistics, timelines, and supplier/vendor communication

QUALIFICATIONS

  • Post-secondary education in event planning, marketing, or a related field
  • 2–4 years of experience coordinating events, activations, or production logistics in a nonprofit, agency, or corporate environment
  • Proven ability to manage multiple projects simultaneously, with strong attention to detail and timelines
  • Experience planning in-person and hybrid events, including venue coordination, AV requirements, run-of-show, and day-of logistics
  • Comfortable working both independently and collaboratively across cross-functional teams
  • Strong organizational and time management skills, with the ability to anticipate needs and adapt to changing priorities
  • Excellent written and verbal communication skills, including working with vendors, partners, and internal stakeholders
  • Ability to uphold and steward brand standards across visual, experiential, and content-based touchpoints
  • Experience supporting or coordinating content production (ex. photo/video shoots) considered a strong asset
  • Willingness to work occasional evenings and weekends for event delivery
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Valid driver’s license and access to reliable transportation preferred (for offsite events)
