Description:

Terra Elysium, a Toronto-based not-for-profit organization working in Neighbourhood Improvement Areas (NIAs), is seeking an enthusiastic and community-minded individual to join the team as Events Manager. Terra Elysium delivers arts- and culture-driven environmental programming that centres local voices, youth leadership, and place-based community engagement.

This role is pivotal in overseeing event logistics, including planning, resource coordination, venue booking, and on-the-ground execution, while working closely with the Executive Team to strengthen community participation, accessibility, and neighbourhood impact.

Responsibilities:

Event Planning and Logistics:

  • Lead the planning and execution of events, ensuring all logistics are meticulously organized.
  • Coordinate with team members to establish timelines, deadlines, and event-specific tasks.

Resource Gathering:

  • Work to gather necessary resources for events, including materials, volunteers, and any additional requirements.
  • Collaborate with relevant teams to ensure seamless resource allocation and utilization.

Venue Space Booking:

  • Identify and secure appropriate venues for events, negotiating contracts when necessary.
  • Manage communication with venue providers to ensure a smooth and successful event execution.

Participant Turnout Enhancement:

  • Collaborate with the Outreach Manager and Executive Director to develop strategies to increase participant turnout.
  • Implement outreach initiatives and promotional activities to attract a diverse and engaged audience.

Communication:

  • Maintain effective communication with team members, stakeholders, and participants throughout the event planning process.
  • Provide regular updates to the Executive Director on event progress and challenges.

Leadership and Initiative:

  • Take a proactive role in problem-solving and addressing challenges that may arise during event planning and execution.
  • Demonstrate leadership in fostering a positive and collaborative events team environment.

Event Participation:

  • Be present at both in-person and virtual events as required, overseeing logistics and ensuring the successful implementation of planned activities.

Qualifications:

  • Availability for up to 15 hours per month, with a commitment to in-person and virtual event participation.
  • Enthusiastic and detail-oriented individual with a passion for event planning and execution.
  • Strong organizational and logistical skills.
  • Punctual and reliable, especially on event days.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with team members and stakeholders.
  • Minimum of two years of event or project development experience, strongly appreciated.
  • Knowledge of accessibility and equity considerations in events is an asset.
