EVENTS COORDINATOR (FULL-TIME)

POSITION SUMMARY

The Events Coordinator plays a key support role in delivering high-quality events and services to members of the Canadian Society of Healthcare-Systems Pharmacy (CSHP). This position is primarily responsible for managing event registration through the iMIS association management system and supporting event logistics. The role also acts as a back-up support for membership services, assisting with processing memberships and responding to member inquiries. This is a detail-oriented, customer-facing position requiring strong communication, organizational, and technical skills.

This position reports to the Manager of Marketing and Communications and requires close collaboration with the Professional Practice Team.

KEY RESPONSIBILITIES

1. Event Coordination for Virtual and In-Person Events


• Set up and manage events in CSHP’s association management system (iMIS).


• Manage participant registrations for CSHP and some Branch events, including processing refunds and resolving registration issues.


• Populate event webpages with relevant content.
• Provide technical support and back-end management for virtual programs using platforms

such as Zoom, PheedLoop, and others.


• Coordinate venue arrangements and logistics for in-person meetings and events, including support for multi-vendor exhibit hall


• Provide on-site support as needed during major conferences and events.


• Update conference materials such as exhibitor manuals, delegate guides, etc.


• Ensure post-event tasks are completed, including distributing evaluations and issuing CEU certificates.


• Prepare participation and other reports. 2. Membership Services Support


• Act as backup to Membership Coordinator


• Respond to inquiries from members and prospective members regarding joining, renewing, or updating their membership.


• Process new applications, renewals, and profile updates in iMIS.


• Create and maintain membership lists and reports for internal use and communications.


• Assist with annual renewal campaigns and membership engagement initiatives.


• Support overall member experience by providing courteous, efficient, and professional service.

3. Systems and Data Management


• Use CSHP’s association management system (iMIS) daily to create events, manage registrations, update member records, and run reports.


• Troubleshoot common user and system issues related to event registration and membership workflows—identify problems and take initiative to resolve them or escalate when appropriate


• Ensure high standards of data accuracy and integrity across all member and event records; proactively identify and correct errors or inconsistencies.


• Maintain and refine standard operating procedures for recurring processes, ensuring documentation is clear, up-to-date, and easy to follow.


• Assist with ongoing data clean-up and contribute to projects that improve the usability and reliability of member/event data.

EDUCATION, SKILLS AND EXPERIENCE


• Postsecondary education required. Equivalent experience will also be accepted.


• 1–3 years of experience in event coordination, member services, or administrative roles— preferably in a non-profit or association environment.


• Demonstrated proficiency with an association management system (iMIS strongly preferred) and database.


• Extensive software skills ideally in the systems used by CSHP:

o MS365, especially Sharepoint o iMIS Association Management System o MailChimp o Zoom o Drupal o Pheedloop o Canva


• Strong customer service orientation.


• Accurate, detail-oriented, and high-quality outputs


• Multi-tasking skills and ability to be flexible when priorities shift


• Excellent oral and written communication skills


• Proactive problem-solving skills


• Ability to work independently


• Fluency in both official languages an asset

LOCATION, TRAVEL AND COMPENSATION


• The starting salary for this position is $50,000 firm plus a generous vacation allowance, health benefits and RRSP matching program.


• This position is completely remote.


• The incumbent will be provided with CSHP computer equipment which must be used for all CSHP work.


• Occasional travel within Canada will be required.
