Intimate Sessions is seeking a highly organized, proactive, and professional Event Coordinator to support the planning, coordination, and execution of our events, programs, workshops, and community initiatives.

We are looking for someone who is detail-oriented, resourceful, confident in communication, and able to build strong relationships with venues, vendors, businesses, organizations, sponsors, and community partners. This role is ideal for someone who thrives in fast-paced environments, enjoys event planning, and understands how to bring impactful experiences to life from start to finish.

Intimate Sessions is a registered non-profit organization dedicated to empowering women through intentional programs, transformative experiences, and community-centered spaces that support healing, personal growth, and authentic connection. We focus on nurturing mental, emotional, and physical wellness while building confidence and cultivating meaningful sisterhood.

Position Overview

The Event Coordinator will play a key role in assisting with the logistics, planning, partnerships, and overall coordination of Intimate Sessions events and programs. This individual will help ensure that all experiences are organized, professional, impactful, and aligned with the organization’s vision and standards.

Responsibilities

  • Research and secure venues for events, workshops, programs, and community initiatives
  • Contact and communicate with vendors, businesses, sponsors, organizations, and community partners
  • Negotiate pricing, partnerships, sponsorships, and service agreements
  • Coordinate event logistics, timelines, schedules, and setup details
  • Assist with planning and executing events from concept to completion
  • Support event operations, guest coordination, and vendor management
  • Source decor, catering, entertainment, rentals, and other event-related services
  • Maintain communication with all parties involved to ensure smooth coordination
  • Help manage event budgets and identify cost-effective solutions
  • Assist in securing donations, collaborations, and in-kind sponsorships
  • Coordinate event materials, supplies, registrations, and attendee logistics
  • Attend events and provide on-site coordination and support
  • Assist with outreach efforts, follow-ups, confirmations, and relationship building
  • Help ensure events align with the Intimate Sessions brand, mission, and overall experience standards

Preferred Skills & Qualifications

  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Ability to professionally communicate through phone calls, emails, and meetings
  • Strong problem-solving and time management skills
  • Experience in event planning, coordination, hospitality, or community programming is an asset
  • Ability to work independently and collaboratively within a team
  • Knowledge of community engagement, partnerships, and sponsorship outreach is an asset
  • Comfortable using Google Workspace, Canva, spreadsheets, scheduling tools, and social media platforms
  • Flexible schedule and ability to assist during events when needed
