Salary Range: $50,000-$65,000 + benefits and pension
Location: This role is offered as a remote or home-based hybrid position. While we strongly encourage applications from candidates residing near Markham, Ontario, qualified candidates from across Canada are welcome to apply.
RESPONSIBILITIES
A. Donor Engagement and Cultivation (Highly Relational Focus)
- Relationship Management & Execution: Manage the execution and maintain the consistent voice and communication for all personalized and standard donor messaging (e.g., thank yous, welcome series, renewal asks), ensuring warmth, gratitude, and clear articulation of impact.
- Mid-Level Cultivation & Stewardship: Collaborate with the Director of Development to design and execute tailored plans specifically targeting new and mid-level givers to increase their engagement, commitment.
- Relationship Coordination: Meticulously prepare all meeting logistics, necessary documents, presentations, and personalized follow-up for high-level partner and donor engagements, as requested by the Director of Development.
B. Strategic Giving: Donor-Centric Communications & Foundation Partnerships
- Grant & Foundation Reporting: Champion the full grant lifecycle, from prospect identification and crafting compelling, mission-aligned proposals to managing budget coordination and ensuring timely, detailed final reporting to foundation and grant partners.
- Acquisition Strategy & Content Leadership: Implement the strategic development and application of a donor-centric perspective across all direct mail and digital acquisition efforts. Collaborate with the Marketing team to strengthen content, timing, and narrative, ensuring we capture the right information for future engagement.
- Communication Alignment: Partner with the Marketing/Communications team to review and elevate all fundraising content (appeals, grant narratives, campaign materials), maintaining a compelling narrative that clearly demonstrates impact across the entire donor journey.
C. Data Strategy and Systems Development (Detail-Oriented Focus)
- Data Strategy & Segmentation: Design and coordinate the strategic segmentation for all donor communication lists (including direct mail and digital), ensuring the optimal message reaches the right donor at the right time to maximize response rates.
- Process Improvement & Oversight: Working closely with the Operations team, maintain the meticulous integrity of donor records in the CRM database and conduct regular audits of the donor journey to identify and implement process refinements (e.g., automated follow-up triggers) that enhance the donor experience and improve team efficiency.
- Reporting & Analysis: Work in collaboration with Operations to pull segmented lists and analytical reports on donor retention, upgrade metrics, and campaign performance to inform fundraising strategy and forecast needs.
D. Special Project and Executive Support
- Project Coordination: Serves as the dedicated, high-detail coordinator for high-priority, time-sensitive special projects, as assigned by the Director, ranging from major donor event logistics to call campaigns.
QUALIFICATIONS/QUALITIES

- A minimum of 3–5 years of progressive experience in non-profit development operations, fundraising, or institutional giving role.
- Demonstrated proficiency and hands-on experience utilizing a robust CRM database (working knowledge/experience with Raiser’s Edge is an asset) for advanced functions, including meticulous data entry, strategic segmentation, custom list pulls, and performance reporting.
- Proven ability to manage complex project timelines and write persuasive, accurate materials, including: o Experience overseeing the full lifecycle of grant management (from research and proposal submission to financial reporting). o Familiarity with the production and coordination of mass-market direct mail or acquisition campaigns (working with external vendors, timelines, and list segmentation).
- Exceptional organizational and administrative skills with an unwavering commitment to detail, systems thinking, and process improvement. Experience auditing donor journeys and implementing systematic refinements (e.g., automation triggers).
- Demonstrated ability to handle high-touch, relationship-focused interactions (in-person, email, and phone) with donors, maintaining a professional, service-oriented demeanor.
- Collaboration: Proven history of working effectively in a cross-functional team environment (Marketing, Finance, Operations) to achieve shared goals and execute multi-channel communications.

Work Environment
