Role Summary 

As a member of the Education & Consulting team, the Education Program Coordinator plays a key role in delivering Vantage Point workshops and labs for non-profit boards and staff. The position provides high-quality logistical and administrative support for the scheduling and delivery of Education Events, working closely with the Director of Education and Consulting Programs and the Education Program Specialist. The Education Program Coordinator is a primary point of support for program participants and Knowledge Philanthropists (KPs), ensuring effective communication throughout their experience with Vantage Point. This includes timely and accurate processing of bursaries, as well as supporting the marketing of Education Events to reach and engage prospective participants. The role also collaborates with the wider staff team to ensure a consistently positive experience across Vantage Point services for members of the public, clients, and Vantage Point members.

Role Responsibilities

Client Engagement & Communications

  • Be the first point of contact to support clients with education program inquiries and make referrals to appropriate workshops, labs, resources, or other Vantage Point services such as consulting and custom training.
  • Coordinate all registrant communications for Education Events (workshops, labs and webinars) including crafting and sending pre-event reminders and follow-up communications.
  • In partnership with the Communications & Marketing Specialist, maintain and update the Vantage Point website content related to Education Events.
  • Support marketing efforts to promote Education Events, including drafting basic graphics and copy for social media, newsletters and/or mail merges.
  • Verify and communicate registrant eligibility for bursary support, process bursary awards and registrations in coordination with the Operations team, and coordinate communications with funders to approve bursaries as needed.

Event Coordination, Evaluation and Record-Keeping

  • Prepare and manage the annual Education Events calendar, scheduling all workshops and labs including confirming topics, dates, and delivery details.
  • Manage Education Events systems, including monitoring registrations, coordinating program logistics, and ensuring smooth delivery.
  • Coordinate logistics for in-person workshops and labs (e.g., tech and room set-up, welcoming facilitator and cleanup).
  • Track and report program registration numbers, statistics, and records for internal and external reporting purposes.
  • Set-up and administer program evaluations; track and summarize responses and testimonials.
  • Support set-up and distribution of annual client survey to inform program planning.
  • Support planning and logistics for Vantage Point's Non-Profit Leadership Conference and other organizational events as needed.

Project Coordination & Additional Responsibilities

  • Engage in specific projects related to the development of education programs, as needed.
  • Work collaboratively with the Director of Operations and Communications to regularly assess and refine Education Events systems.
  • Other team-related tasks as required.

Qualifications and Competencies

  • 2+ years in a customer service/client facing role.
  • A highly collaborative, team approach.
  • Exceptional communication skills, both verbal and written.
  • Solid organizational skills with a keen eye for detail.
  • Superior time management skills with strong ability to determine and manage priorities.
  • Aptitude for technology, including Microsoft Office Suite, CRMs (Salesforce), webinar platforms (Zoom Events), online survey tools (Survey Monkey), communications technologies (Canva, Mailchimp, Adobe), and project management apps (Asana).
  • Experience with the non-profit environment, as an employee or volunteer.
  • Willingness and passion to learn new things quickly.

This is a full-time, permanent position (35 hours/weekly) with extended health benefits, including enrolment in the Municipal Pension Plan after 3 months. The position is in job range C according to our People Policies which has a hiring range of $54,000-$60,000 depending on experience. We operate with a hybrid working model that combines remote work with on-site office work during a regular work week for full-time employees. A minimum of 2 days per week in office is expected for this position. Occasional evening and/or weekend hours may be required.
