Opportunity Overview – Education Coordinator Service Provider

The Chartered Governance Institute of Canada (CGIC) is inviting proposals for the provision of Education Coordinator services in support of the successful delivery of CGIC’s academic programs.

Accountable directly to the Director of Education (DoE), the Education Coordinator will serve as the first point of contact for inbound education-related inquiries, provide guidance and administrative support to learners and registrants, support program scheduling and administration, assist with education-related meetings and projects, support the organization’s Learning Management System (LMS), and collaborate with the DoE on continuous process improvements.

In addition, this function will support the achievement of the organization’s enrollment growth goals, by engaging directly with prospective and current learners to provide accurate information, guide them through program options, and convert advising interactions into registrations and program participation. This includes promoting additional training and education opportunities, ensuring that every interaction strengthens both learner success and CGIC’s education growth.

Note: CGIC seeks proposals from individuals, or organizations interested in delivering the scope of services as outlined below, via an independent contractor model.

Scope of Services

Academic Programs (IQP, DEAP, Micro-credentials)

  • Inbound Inquiries & Sales Engagement: Act as the first point of contact for all inbound education-related inquiries. Provide accurate advice and information while also taking a proactive role in closing registrations and upselling education/training opportunities.
  • Scheduling & Coordination: Support the DoE in finalizing scheduling of classes, examinations, and program sessions for the International Qualifying Program (IQP), Directors’ Education and Accreditation Program (DEAP), and micro-credentials.
  • Application & Registration Management: Process candidate and registrant applications, manage examination and course registrations, and maintain accurate databases.
  • Participant Support: Provide guidance on academic planning, shepherd participants through program requirements, and ensure timely, professional responses to inquiries. Escalating t the DoE as required.
  • Program Delivery Administration: Coordinate program logistics, including speaker arrangements, class schedules, session materials, assessment processes, and certification issuance.
  • Academic Records: Maintain and administer accurate and confidential student/registrant records, transcripts, outcomes, and certificates.

Cross-Divisional Engagement

  • Collaborate with other CGIC divisions to align program delivery with organizational initiatives, and the support or functional level as required.
  • Assist the DoE with outreach and engagement activities to strengthen connections between education programs and CGIC’s broader membership and advocacy goals.

Meeting Administration (ETCSC, ARP, SAC)

  • Provide administrative support for education-related committees, including the Education, Training & Candidate Success Committee (ETCSC), the Academic Review Panel (ARP), and the Subject Advisory Committee (SAC).
  • Responsibilities include scheduling meetings, assisting in the preparing and distributing agendas and materials, recording and circulating minutes, assisting in the tracking of action items, and supporting follow-up activities.

Education Projects & LMS Administration

  • Provide administrative support to the DoE and project stakeholders in the execution of key education-related projects (e.g., curriculum updates, program enhancements, special initiatives).
  • Administer the organization’s Learning Management System (LMS), including uploading and maintaining course content, enrolling participants, monitoring usage, generating reports, and troubleshooting user issues.

Process Improvement & Service Efficiency

  • Collaborate with the DoE to identify and implement process improvements across education programs and operations.
  • Recommend and apply efficiencies that improve service provision, administrative effectiveness, and participant experience.
  • Support the development of standardized workflows, documentation, and reporting systems to enhance program delivery.
  • Support and assist the DoE in the implementation of technical solutions to improve process workflows.

General Administrative Support

  • Prepare reports, spreadsheets, and summaries for the DoE as required.
  • Assist in implementing program updates, assessments, and evaluation processes.
  • Provide general administrative support for the effective operation of the CGIC education portfolio.

Capabilities

  • Education: Bachelor’s degree in a related field (education, administration, business, or similar) required.
  • Experience: Prior experience in academic advising, program administration, student services, or higher education strongly preferred. Experience in consulting/advisory based sales is an asset, especially within a training or educational context.
  • Sales & Service Orientation: Strong ability to build relationships, provide program advice, and proactively convert inquiries into registrations and upsell education opportunities.
  • Communication: Excellent written and verbal communication skills for advising and influencing decision-making.
  • Organizational Skills: Strong ability to manage schedules, records, logistics, meetings, projects, and workflows with accuracy and attention to detail.
  • Technical Skills: Experience administering or working with an LMS, databases, and reporting systems.
  • Continuous Improvement: Ability to analyze processes, recommend efficiencies, and support implementation of improvements including technical process.
