Organization Summary
The Registered Massage Therapists’ Association of Ontario (RMTAO) is a member-driven, not-for-profit professional association representing Registered Massage Therapists (RMTs) across Ontario. The RMTAO exists to advance the profession, advocate for RMTs, and provide the research, tools, and education members need to grow their practices.
Position Summary
The Education and Events Coordinator manages the essential planning and logistics for the Association’s professional development programs and governance activities. This role requires an energetic professional who is passionate about events, excels in delivering exceptional customer service, and builds relationships with members, speakers, and vendors.
As a key member of a small, collaborative team, you are a "get things done" individual with a proactive, can-do attitude. You will lead the full planning and execution of a busy online webinar series, high-impact conferences, and critical board-level events. This role is perfect for an independent, quick learner who can switch between high-level planning and hands-on execution in a fast-paced environment.
- Reports to: Director of Operations
- Status: Full-Time
- Work Model: We have embraced a hybrid work model that balances flexibility with in-person collaboration. We are seeking candidates based in the Greater Toronto Area (GTA), as this role requires being on-site at our office at least one day per week. While this weekly minimum is required, if you wish to work in the office more often, you are welcome to.
- Salary Range: $52,000 - $65,000

Duties and Responsibilities
- Webinar Management: Manage the full lifecycle of the webinar program, including finding speaker, selecting topics, and coordinating dry-runs.
- Technical Setup: Manage Zoom coordinates, registrations, and payments through our database (AMS), and moderate live sessions (introductions, recordings, and chat).
- Conferences & Tradeshows: Lead the planning for annual conferences (Virtual or In-Person). This includes theme setting, speaker management, hotel/venue negotiations, AV coordination, and acting as the main contact for sponsors and exhibitors.
- In-Person Workshops: Source and coordinate with partner venues; manage on-site logistics including equipment, Wi-Fi, and speaker needs.
- Committee Leadership: Manage the Educational Advisory Committee and the Education Conference Committee to vet proposals and guide programming.
- External Listings: Oversee the external course listings on the RMTAO website, reviewing submissions to ensure they meet quality and professional standards.
- Board & Governance Support: Coordinate logistics for Board meetings and the Annual General Meeting (AGM), including venue selection, catering, and hybrid/virtual technical needs.
- Budget Coordination: Obtain vendor quotes, track spending against the budget, and ensure financial records are accurate.
- "All Hands" Support: Maintain a flexible approach to support the team by performing other duties or special projects as assigned to meet Association goals.
Qualifications
- Post-secondary degree or diploma in Hospitality, Event Management, Business, or equivalent work experience.
- Minimum 3-5 years of related experience in event/project coordination and administration.
- Strong experience in managing Zoom Meetings and moderating live virtual events. Familiarity with Association Management Systems (AMS) or similar databases for event registrations and payment is considered an asset.
- A proactive problem-solver who takes initiative and anticipates what a project needs before it’s asked for.
- Previous experience with a non-profit or member-based organization is a strong asset.
- Superior interpersonal skills for interacting with senior management, Board members, and external vendors.
- Proven ability to juggle multiple tasks and meet strict deadlines under pressure.
