We are seeking a skilled, driven, committed and passionate person to work as our Donor Care Manager within our International Headquarters Office in Burnaby, BC. We are looking for someone who desires to use their skills to make a difference and resonates with Ratanak International's vision, mission and values in serving Cambodia.

Scheduling and Remuneration:

This is a full-time position (5-days per week, 40 hours per week), commencing as soon as possible. The gross salary range for this position is $50,282 - $60,166 per year (depending on education and experience) based on a workweek of 40 hours per week with access to a comprehensive group benefits package and an RRSP match. Candidates must be comfortable with travel throughout the lower mainland and Canada with periodic international travel for work purposes. Currently, our staff work at our Burnaby office two days per week with the rest of the week being remote.

Job Purpose:

This position is responsible for working with the Development and Communications Director to provide strategic and direct donor engagement and stewardship. This includes overseeing donation administration, maintenance, and making improvements to the donor database system.

Additionally, the position provides support to the Development and Communications Director and broader department through donor stewardship activities, basic donation data analysis, report and list generation, and administrative support for campaign mailings and other fundraising initiatives as needed.

The role also contributes to the overall administrative operations of the organization. Key administrative support responsibilities include phone reception, responding to general email inquiries, managing office supplies and handling office mailings.

Primary Duties and Responsibilities:

Provide strategic and direct donor engagement and stewardship, with a focus on donors in the low to mid-level giving range as well as monthly donors. (Primary Objective #1)

  • Ensure donors are contacted throughout the year to show care and appreciation.
  • Send regular updates and prayer requests sent to donors to ensure they feel connected and engaged with the work in Cambodia.
  • Send personal invitations to donors for local events.
  • Collects prayer requests from donors and shares with IHQ team.
  • In collaboration with the Development and Communications Director, develops, implements and evaluates a monthly donor plan.
  • Maintains up-to-date knowledge of Ratanak International as an organization, its Cambodian projects, Cambodian history, and relevant current events to convey accurate information to donors and potential donors.

Oversee the maintenance and enhancement of Ratanak’s donor management system (Primary Objective #2)

  • Continually assesses the efficiency of the donor database system, making suggestions to the Finance and Administration Director and Development and Communications Director as to potential improvements.
  • Assists the Development and Communications Department in preparing or implementing donor engagement and appreciation initiatives as requested.
  • Assists with the distribution of campaign or donor appreciation mailings.
  • Maintains updated donor information email lists for e-newsletters, prayer bulletins, event notices, campaigns and donor appreciation mailings.
  • Tracks donor giving and compares to previous year to ensure retention of donors and to follow up as needed to ensure no lapse in donations from year to year.
  • Under supervision of the Finance and Administration Director and Development and Communication Director, reviews data entry systems, procedures, and internal controls to ensure that they comply with government regulations and charity best practices.

Oversee the administration of donations, tax receipting, and donor reporting (Primary Objective #3)

  • Accurately and efficiently enters donation data into Ratanak’s CRM system, ensuring careful attention to donor designation, contact information, mailing preferences, important donor correspondence, and segmented mailing lists.
  • Prepares, prints, distributes and maintains tax receipts, acknowledgement letters, and thank you letters ongoing during the year and at year-end according to existing protocols.
  • Maintains an up-to-date understanding on tax receipting rules and regulations.
  • Creates weekly, monthly, and annual reconciliation reports to ensure Ratanak’s CRM fully reconciles with the accounting system - Quickbooks.
  • Prepares donation information, reports, and lists as requested.
  • Assists with basic donations analysis in coordination with the Development and Communication Director.
  • Provides advice on how to best-run reports to help staff better utilize the database.

Administrative support duties are carried out efficiently, accurately, and in a timely manner to ensure smooth daily operations of the organization. (Primary Objective 4)

  • Answers all incoming phone calls as the primary receptionist and regularly checks voicemail and returns missed calls.
  • Responds to general inquiry emails in a timely manner.
  • Manages implementation of all regular weekly office mailings.
  • Manages office supply levels and purchases supplies as needed (including stationary, cleaning and kitchen supplies).
  • Manages supplies and servicing for office equipment, such as the photocopier/printers.
  • Manages various in-office schedules (ie: cleaning, devotional, birthday cards).

Qualifications:

  • Required Education:
    • High school diploma or equivalent required.
    • Diploma in bookkeeping, accounting, office management, data management is an asset.
  • Required Experience:
    • Basic understanding of generally accepted accounting, bookkeeping, and fundraising principles and practices is an asset.
    • Knowledge of applicable charity law and financial protocols is an asset.
    • Working knowledge and proficiency in using customer relationship management (CRM) software is an asset.
  • Minimum of one year of experience in bookkeeping, accounting, data entry, and/or other relevant administrative experience in either a staff or volunteer position.
  • Minimum of one year experience of progressive responsibility in fundraising, donor stewardship, database management and / or donor communications.
  • Exceptional organizational ability along with meticulous attention to detail.
  • Highly efficient and independent worker demonstrating flexibility and multi-tasking abilities.
  • Excellence in oral and written communication skills, demonstrating professionalism and diplomacy.
  • Proven ability to exercise initiative and judgment while handling an extensive workload with accuracy and efficiency.
  • Ability to meet deadlines and work under pressure.
  • Positive attitude and team player.
  • Non-Profit industry work or volunteer experience is an asset.

Computer Competencies:

  • MS Office Suite is required.
  • CRM software is an asset, particularly Little Green Light.
