Role Overview

The Director, IT, CRMs and Systems will provide strategic and hands-on leadership in managing Volunteer Well’s digital systems, IT infrastructure, and CRM platforms. This role will be instrumental in developing and integrating technology solutions that streamline operations, enhance volunteer engagement, and support the organization’s growth. This is a volunteer leadership role and a key member of the Board of Directors, contributing to both technology strategy and organizational governance.

Key Responsibilities

CRM and Systems Development

  • Lead the implementation and management of an AI-integrated CRM system (GoHighLevel – GHL platform).
  • Build and maintain funnels, workflows, and automation processes to optimize engagement and data management.
  • Ensure data accuracy, security, and compliance with Canadian privacy and nonprofit regulations.

Volunteer Management Systems

  • Design and implement Volunteer Well’s Volunteer Management System, currently under development using Google Workspace (G Suite), Google Forms, and Google Sheets.
  • Establish user-friendly processes for volunteer onboarding, tracking, and engagement.
  • Provide training and documentation for staff and volunteers.

IT Infrastructure & Administration

  • Oversee Google Workspace account administration (email, drives, permissions, shared resources).
  • Manage and integrate other IT-related platforms and accounts essential for operations.
  • Provide technical support, troubleshooting, and process improvements as required.

Digital Marketing Support

  • Oversee Google Ads account management, including optimization and compliance with Google Ad Grants for Nonprofits.
  • Collaborate with the Communications/Marketing team to align campaigns with organizational goals.

Governance & Collaboration

  • Actively participate as a Board Director, providing input on strategic and operational decisions.
  • Ensure IT systems align with Volunteer Well’s mission, vision, and compliance standards.
  • Mentor and support team members in adopting and effectively using systems.

Time Commitment & Expectation

  • Term: Director, IT, CRMs and Systems is a minimum of a 3‑year term, with the option for renewal for a further term upon expiry.
  • Monthly and Annual Commitment: At least 4-5 hour/weekdevoted to board‑level meetings, strategic consultations, and advisory support, committee consultations, as well as additional strategic sessions with CEO/ teams as necessary.
  • Board Meeting Participation: Attend at least 4 out of 6 virtual board meetings per year, as well as additional strategic sessions as necessary.
  • Active Engagement: Remain actively involved with both strategic planning and oversight of communications and marketing initiatives, without being involved in day-to-day operations.

What We’re Looking For

Technical & Systems Expertise: Senior-level expertise in IT systems, CRM management, or digital infrastructure, ideally within the nonprofit or small-to-medium sector in candian sphere.

CRM Platforms: Experience with GoHighLevel CRM (GHL) or similar platforms, with ability to design workflows and automations.

Google Tools & Ads: Strong knowledge of Google Workspace administration and Google Ads/Ad Grants management.

Process & Data Management: Proven experience in process design, data management, and system optimization.

Strategic & Governance Skills: Strategic thinker with strong governance, problem-solving, and advisory skills.
