Position Summary
Reporting to the Chief Executive Officer, the Director of Financial Services is responsible for leading the fully compliant Financial function at Pathstone Mental Health and Pathstone Foundation. This also includes supervision of outcomes executed by the Finance team applying to back office clients in the not-for-profit sector.
Major Duties and Responsibilities:
Financial Reporting and Planning
- Provide context, support, and advice to staff, senior leadership, finance committees and Board of Directors to enable clarity and the successful approval of relevant budgets, financial reports and business plans.
- Structure and oversee the monthly, quarterly, and annual production of internal financial statements and reports as needed by internal stakeholders.
- Collaboratively assist the Chairs of the Finance Committees by reviewing agendas and providing clear, concise information on the financial health of the organization through creating reports and briefs as requested.
- Prepare and submit external government reporting.
- Lead and manage the development and dissemination of budgets and forecasts.
- Provide support to the CEO, Directors of Human Resources and Quality Assurance, and Clinical Managers as needed and able.
- Conduct financial analyses, as needed, to complete activities described above.
- Assist in funding and grant applications.
Accounting
- Oversee accounting operations, enabling the timely and accurate completion of accounting entries.
- Ensure issues are resolved in an efficient and effective manner.
- Ensure accounting activities align with accepted accounting principles and standards.
- Monitor reconciliations as required to ensure integrity with accounting data.
- Monitor and approve payroll transactions.
- Perform internal audits of payroll and accounting processes.
- Working with IT as needed, help ensure accounting system technology is effective and efficient and meets prescribed needs.
Compliance, Controls and Audits
- Ensure financial, funder, tax and other key regulatory filings are maintained, reviewed and accurate before remitting to relevant authorities.
- Work to ensure appropriate internal controls are established and maintained. Review financial policies and procedures annually and where relevant policies and procedures are absent or deficient, engage staff to collaboratively work to improve and adopt.
- Identify and implement process improvement activities to help enable enhanced efficiency and efficacy.
- Lead external auditors in the enterprise-wide annual audit and any supplemental program audits that might occur.
Team Leadership
- Oversee the hiring, mentoring, training, and evaluation of an experienced, talented, and highly professional finance team of five, that is well prepared to meet the ongoing opportunities and challenges of Pathstone Mental Health and Pathstone Foundation.
- Inspire the team to support and work out Pathstone Mental Health’s mission of strengthening the quality of life for Children, Youth and Families.
- Foster a strategic and collaborative approach to building operational capacity.
- Develop a culture of coaching and performance excellence to continually develop team capacity and create succession plans as needed for the team.
- Illuminate a path to success for team members by promoting core and leadership competencies, key performance indicators and personal development goals that align with Pathstone Mental Health’s values.
Property Management
- Assist with lease creation and management.
- Working with the Property Team Lead, plan and review capital and operational budgets.
- Report on occupancy, cost recovery, financial and various other components of the property management folio to internal and external stakeholders.
Treasury & Investment Management
- Ensure sufficient cash liquidity to meet obligations of both the Agency and Foundation.
- Manage current loans and liaise with bank.
- Report to Finance Committees on cash and investment holding regularly.
- Advise the CEO on current trends and cash requirements regularly.
Risk
- With the support of the CEO, review risk management activities, ensuring a robust monitoring and reporting system exists for a wide range of relevant risks.
- Report on known financial risks to the CEO and board of directors.
Health and Safety Responsibilities
Assume responsibility for a safe work environment and safe working practices by:
- Working in a safe manner and maintaining a safe and orderly work environment;
- Investigating unsafe situations and conditions and addressing them in accordance with Health and Safety Policies and Procedures;
- Ensuring that team members are trained in Health and Safety Policies and Procedures.
Organizational Responsibilities
- Adhere to the organizational policies and procedures of Pathstone Mental Health.
- Actively participate in the development and review of Agency practices, programs and the implementation of the current strategic plan.
- Actively participate as a member of the Collaborative Leadership Team.
- Participate in the setting and implementation of organizational and team goals and objectives.
Education / Experience
- University degree in finance, business administration, accounting or an equivalent field; Master’s degree an asset.
- Professional accounting designation (CPA) required.
- Minimum 5 years of related experience working in a Senior Finance leadership role – supporting all/most of the functions described above; 7-10 plus years of related experience in a Senior Finance leadership role preferred.
- Proven success in leading and advancing a skilled finance team.
- Strong working knowledge of relevant accounting standards, regulatory requirements, ERP accounting and payroll systems; good appreciation of best practices with cash management, planning, investment management and policy development.
- Experience in Not For Profit sector considered a strong asset.

- Current Police Records Check within six (6) months prior to hire.
