
Director of Finance and Administration
JOB TITLE: Director of Finance & Administration
REPORTS TO: CEO
This position became available due to retirement. The Director of Finance & Administration is a member of the senior management team and an important contributor to society oversight and leadership. The Director reports to the CEO and is responsible for overseeing Finance, Human Resources and Information Technology for the Society. In addition, the Director of Finance & Administration is responsible for overseeing the Foundations’ finance and audit.
The responsibilities of this role require working closely with all CAS staff, volunteers and external stakeholders. The Director is expected to be a seasoned professional with a strong commitment to member service excellence. This position requires a creative and resourceful individual with excellent communication and time management skills to successfully balance competing priorities within a busy environment.
Responsibilities:
Finance
- Oversee accounts payables, receivables and supervise the Accounting Support and the Membership and Database Coordinator
- Reconcile balance sheet accounts, including various bank and inter-company accounts, prepaid, accrued, Visa expenses, investments, section and division finances
- Enter and reconcile the Annual Meeting revenue and expenses and reconcile the membership dues revenue
- Enter the recurring month-end entries, including depreciation, deferred revenue
- Prepare monthly financial statements for the Society and quarterly financial statements and donation lists for the Foundations
- Process the semi-monthly payroll in Ceridian, monitor and reconcile taxable benefits and issue T4, T4A and T2200 slips
- File the quarterly GST/HST return and QST return to Revenu Quebec
- Execute the annual audit, prepare all schedules and reconciliations
- Prepare the annual Budget, including the salary allocation for staff
- Organize and attend Finance Committee meetings, prepare material and presentations and take minutes
- Attend the Annual Meeting, Board Meetings and committee meetings as required
Human Resources
- Take the lead in recruitment, selection, onboarding, offboarding, employee relations, training and professional development
- Administer the benefit programs and retirement plans, work with plan advisors and proactively resolve any issues related to these programs
- Manage and track staff time and address any inquiries
- Strictly follow HR policies and ESA recommendations
- Lead the Performance Management process, communicating and enforcing organizational values and expectations
Information Technology
- Ensure smooth and safe operation of the Soociety, including the maintenance of sufficient virus protection and cloud-based data storage
- Onboard and offboard employees to make sure they have access to all necessary software and hardware for their work
- Purchase and/or upgrade software and hardware to new and existing employees
- Work with the IT company to design and implement upgrades and improvements
- Train and educate staff on cybersecurity annually
- Maintain hardware and software inventory
Other
- Arrange for insurance coverage, sufficient storage facilities and responsible for other administrative tasks, including reviewing and renewing contracts

Education/Work Experience
- Chartered Professional Accountant with 3-5 years of previous experience as a Director of Finance
- Previous not-for-profit or charity experience is required
- Previous payroll and HR experience is required
- Proficient in the full suite of Microsoft Office
- Experience with QuickBooks online is preferable
Location: This is a remote work position, open to individuals who reside in the province of Ontario and are legally entitled to work in Canada.
Hours of Employment: This is a full-time, Monday to Friday role; regular hours are 9:00 a.m. to 5:00 p.m. Flexibility to work evenings and weekends is available as needed and arranged in advance.
Rate of Pay: Salary is commensurate with experience, with a range of CAD 100,000– 110,000 per annum.
