Job Brief

Overview: The Director of Finance and Administration is a leadership role responsible for overseeing the day-to-day financial operations, while contributing to IJM Canada’s strategic insight to support the mission, growth, and long-term sustainability. This position requires a deep understanding of financial management and regulatory compliance.

In partnership with senior leadership, the Director of Finance will contribute to the strategic planning of IJM Canada, as well as financial decision-making. The position also supports benchmarking and best practices within the not-for-profit sector, ensuring funds are used efficiently and in alignment with IJM Canada’s mission, donor expectations, and regulatory obligations.

Roles and Responsibilities

Leadership and Management

  • Lead the month-end and year-end close and reporting with all monthly balance sheet reconciliations completed for the CA entity.
  • Oversee CA statutory and tax filings in collaboration with the Global reporting & consolidation team.
  • Own the ERP financial operation process for the CA operations and oversee reconciliation of data from CRM with financial systems.
  • Manage annual memberships and government remittances.
  • Maintain the relationship with the external auditor and prepare draft financial statements for the auditors’ review.
  • Conduct all payroll functions, including the review of time sheets and maintenance of the employee benefits programs.
  • Handle financial requirements for funding applications and grant proposals as requested.
  • Lead annual budgeting process.

Strategy & Knowledge Development & Implementation

  • Ensure efficient use of IJM’s funds by regularly reviewing and evaluating contracts for service as required and advising on new agreements as required.
  • Conduct monthly reconciliation of bank accounts and other balance sheet accounts.
  • Conduct monthly budget v actual reporting.
  • Prepare and complete bank deposits while also arranging all wires of funds and managing investment activities.
  • Assist the CEO and senior leadership with annual strategy and KPI development.
  • Manage the receipt, review, and general ledger recording and reconciliations of the offices’ income, expenses, and balance sheet items on a monthly basis in accordance with GAAP as established by the AcSB to assure the integrity of the financial data consolidated at HQ for accurate and timely management, donor and regulatory reporting, as well as audits.

Policies and Procedures

  • Develop and update accounting and finance policy and procedure manuals to guide the financial operations of the HQ office to ensure internal controls, consistent application, and compliance with internal policies and other local, donor, and regulatory requirements for purposes of mitigating financial and reputational risks.
  • Assist the Global Finance team with reporting and consolidation within the annual external financial statement Audits.
  • Complete and submit all reports required by the Canada Revenue Agency.

Communication

  • Direct and communicate any updates to Finance policies and reporting deadlines.
  • Participate as a staff resource person in meetings of the Board of Directors’ Finance Committee as required.
  • Quarterly financial reporting to the IJMC staff team.

Documentation, Reporting & Data Management

  • Oversee the document management of CA transactions in relation to financial operations and tax.
  • Documentation, CA bank accounts, and award documents.
  • Preparing monthly financial reports for the senior leadership team and Chief Executive Officer, and monthly reports for the Board of Directors.

Administration

  • Facilities & Workspace Management: Maintain a well-organized, safe, and functional workspace. Liaise with building management and vendors, oversee office supplies and equipment, and ensure timely maintenance or repairs. Staff Support & Onboarding: In partnership with the human resource business partner, provide operational support to staff teams, including helping with onboarding logistics, workspace set up, equipment provisioning, and orientation to office procedures.
  • Health, Safety & Compliance: Support the organization’s compliance with workplace policies, privacy expectations, and occupational health and safety standards. Contribute to emergency preparedness and policy adherence.
  • Technology support: Ensure the provision and functioning of all technology resources required by the organization in collaboration with IJM’s Global Technology Services team and relevant vendors.
  • Collaborate with human resource partners, both vendors and the IJM North American human resources team, to ensure compliance with all human resource policies and standards.

Education & Experience

  1. Bachelor’s degree required in Business, Finance, Accounting, or related field; CPA preferred.
  2. Minimum 7-10 years of experience in fundraising or a non-profit environment.
  3. Demonstrated experience as a skilled leader with team management abilities and leading high-performing teams.
  4. Experience working in faith-based or justice-oriented organizations an asset.

Technical Competencies

  1. Familiarity with CRA regulations, GAAP standards, and donor compliance requirements.
  2. Effective written and verbal communication skills.
  3. Knowledge of QuickBooks and Salesforce or similar applications preferred.
  4. Demonstrated experience in financial planning, budgeting, and forecasting.
  5. Experience leading audits, interpreting accounting standards and managing payroll and finance teams.
