Sandbox Software is looking for a Digital Project Coordinator. This role is the day-to-day delivery partner for clients across digital engagements (websites, web applications and/or mobile apps). You’ll coordinate scope, schedules, budgets, and team workflows from discovery and kickoff through launch and post-launch follow-up, making sure clients are informed, decisions are made on time, and the team has what it needs to execute. You’ll work closely with designers, developers, and the Quality Assurance and Accessibility team to translate requirements into clear tasks, surface risks early, and keep milestones on track. This role is best suited for someone who has experience working for a digital agency.

Work Hours: Full-time, 37.5 hours/week, 1 year Contract (Parental Leave)

Location: Hybrid (remote and our Guelph office)

Expected Capabilities:

  • Lead multiple digital projects (typically 5 to 10 projects), maintaining schedules, budgets, resourcing, and status reporting
  • Run day-to-day client communication (emails/calls/meetings), including agendas, notes, and action-item follow-up
  • Support discovery and kickoff by gathering requirements, clarifying scope, and documenting decision points
  • Translate client needs into clear, actionable tasks for designers, developers, QA, and accessibility (user stories, task details, acceptance criteria)
  • Own the management of timelines and milestones, proactively surfacing risks, dependencies, and trade-offs, and proposing mitigation plans
  • Own change management: track scope changes, assess impact, provide options, keep team informed to date and recommendations and reschedule.
  • Communicate technical recommendations in plain language to align stakeholders and keep work moving
  • Maintain high quality standards through organized documentation, checklists, and attention to detail
  • Drive acceptance and launch readiness (UAT coordination, content readiness, QA triage, go/no-go)
  • Confidently use project management tools (e.g., Teamwork) to keep the team aligned and work visible
  • Working knowledge of accessibility standards (WCAG, AODA) and how they impact design and development is an asset
  • Familiarity with web technologies, CMS platforms (e.g., WordPress), and UX/UI best practices
  • Digital/creative agency experience is strongly preferred; experience with healthcare and not-for-profit organizations is an asset

Skills & Expertise:

  • Project planning and scheduling (milestones, dependencies, critical path thinking)
  • Client facilitation (kickoffs, workshops, status updates, decision-making)
  • Risk and issues management (early identification, mitigation, escalation)
  • Budget and scope awareness (estimation support, tracking, and change control)
  • Clear documentation (requirements, tickets, meeting notes, acceptance criteria)
  • Working collaboratively with design, development, QA, and Manager of Quality Assurance and Accessibility
  • Management of design/dev handoffs, QA cycles, and launch constraints

Salary Range: $65k to $80k CAD
