The Role
The Development & Administrative Coordinator supports Sanctuary’s relationships with donors, communications and social media, while also providing day-to-day administrative support to the organization. This position requires someone who is relational and comfortable communicating with donors, creative and confident with social media, and highly organized, accurate, and able to manage the practical administrative details that keep a small organization running well.
Development & Donor Engagement
- Build, cultivate and maintain positive relationships with Sanctuary’s donors and supporters.
- Serve as a point of contact for donors, responding to inquiries and helping donors stay connected to Sanctuary’s work and community.
- Communicate with donors in a warm, timely and professional manner.
- Support donor cultivation and stewardship activities and help identify opportunities to deepen relationships with existing and prospective donors.
- Maintain accurate and up-to-date donor information and records.
- Process and track donations and ensure donor information is recorded accurately.
- Produce timely and accurate donation reports for the Finance Team Lead.
- Assist with donor communications, campaigns, mailings and other fundraising initiatives.
- Support fundraising events and other donor-engagement activities.
- Work collaboratively with the Finance Team Lead and other staff on development and fundraising priorities.
Administrative Support
- Provide day-to-day administrative support for Sanctuary’s office and staff team.
- Respond to general telephone, email and other administrative inquiries and direct them appropriately.
- Maintain organized electronic and physical records.
- Assist with correspondence, mailings, document preparation, filing and data entry.
- Prepare and make bank deposits.
- Order and maintain office supplies and assist with the practical needs of the office.
- Support the Finance Team Lead and Executive Director with administrative projects and tasks.
- Assist with other general office responsibilities as needs arise.
Social Media & Communications
- Create, prepare and publish engaging social media content that reflects Sanctuary’s mission, values and community.
- Regularly monitor and maintain Sanctuary’s social media accounts.
- Develop social media posts highlighting Sanctuary’s programs, community life, events, fundraising initiatives and other appropriate updates.
- Help maintain a consistent and authentic Sanctuary voice across social media platforms.
- Respond to or appropriately direct comments, messages and inquiries received through Sanctuary’s social media accounts.
- Coordinate with staff to identify stories, events and information suitable for sharing publicly.
- Support social media communications related to fundraising campaigns and donor engagement.
- Exercise good judgment regarding privacy, consent, confidentiality and the dignity of community members when creating or publishing content.
- Monitor engagement and basic social media performance and help identify opportunities to strengthen Sanctuary’s online presence.
Experience in the Following Areas Is an Asset
- Donor stewardship, fundraising, development or relationship management.
- Experience working with a donor database or CRM; Salesforce experience is an asset.
- Experience creating and publishing content for organizational social media accounts.
- Strong social media writing and content-creation skills.
- Experience monitoring and managing social media accounts and online engagement.
- Donation processing and reporting.
- Strong administrative and office-management skills.
- Excellent written and verbal communication.
- Strong attention to detail and accuracy.
- Experience working in a nonprofit or charitable organization.
- Experience working with marginalized communities.
Additional Expectations for All Staff Members
- Participation in community drop-in meals (Tuesday lunch and Thursday dinner).
- Walking outreach
- Community care (e.g. helping clean someone’s apartment, where schedule allows).
- Engagement in regular self-care practices and trauma-informed therapy.
- Participation in weekly all-staff meetings and two annual staff retreats, typically offsite.
- Participation in required anti-racism, anti-oppressive practice and non-violent de-escalation training.
- Participation in overdose prevention and response, first aid and BLS training (not a prerequisite for the role)
- Professional development, including regularly meeting with mentors.
- Occasional church duties as required.
- Involvement in fundraising (either personal or collective team efforts)

Hours and Compensation
- Full-time position
- Salary: $59,500 per year
- Benefits package, including LTD
- 20 days of paid vacation per year (prorated depending on start date)
