CORPORATE SECRETARY - JOB DESCRIPTION
Job Title: Corporate Secretary
Location: Online – One or two in person meeting/year
Hours of Work: about 5 hours per week (more during peak times)
Compensation Range: $35/h
Duration: 1year renewable
The Corporate Secretary is responsible for developing and maintaining processes and systems to assist the Executive Director (ED) in supporting CDF board and committees. The CS is also instrumental in ensuring the smooth and integrated flow of Board operations, as well as special projects and organizational events.
Key Responsibilities
SUPPORT FOR CDF BOARD/COMMITTEES
Assist with logistics for the CDF Board and Board or ad-hoc committee meetings under the direction of the Executive Director.
Coordinates online board and committee meetings, meetings minutes, filing of documents, document revision, document distribution and flags errors/omissions prior to document release, etc.
Processes CDF Board of Directors’ expense claims.
Performs other duties relating to CDF Board support as assigned during peak times.
EVENT MANAGEMENT
Leads and collaborates with internal colleagues on the implementation of CDF events including, but not limited to: WMP, CDF AGM, and an annual government relations engagement event.
SUPERVISION
No direct reports.
OVERALL SCOPE
Perform other duties as assigned.
QUALIFICATIONS
- Ability to manage multiple priorities, deadlines, and very high production and communications standards.
- Capacity to coach internal colleagues and project team members, while setting priorities, coordinating schedules/work assignments, initiating corrective actions on performance with tact and diplomacy, and advising the ED on career development opportunities/priorities within the team.
- Facility to engage and motivate colleagues, volunteers, and external contributors to the mission of the organization.
- Exceptional interpersonal skills to interact with a diverse group of internal and external stakeholders.
- Strong critical thinking, problem-solving and decision-making abilities.
- Outstanding written and verbal communication skills in English.
- College diploma or university degree.
- 5 -7 years’ work experience in an executive environment with exceptional organizational skills, the ability to work independently, and prioritize and coordinate a high volume of work with acute attention to detail and deadlines.
- Administrative experience in committee activities and familiarity with formal meeting protocol and preparation of meeting materials.
- Tech literate with extensive command of Microsoft Office Suite, Cloud Storage Systems and Web and Tele-Conferencing Tools and a demonstrated ability to trouble shoot technical challenges.
WORKING CONDITIONS
Some domestic travel is required, as well as some evening and weekend work at peak times.
