Coordinator, Membership One Year, Fixed Term Contract Position

Hiring Range: $56,235 - $70,294 on an annual basis (one year fixed-term contract)

Placement within this range is based on relevant experience and internal equity.

Position Context: This posting is for an upcoming vacancy.

Working Arrangement: Hybrid, Attendance at the office required 1-2 days per week, plus in person meetings and on-site for required events.

Position Overview

Serving as a critical link between the organization and its members, the Membership Coordinator supports PDAC’s membership operations by providing administrative support, managing membership communications, and helping to ensure the smooth delivery of membership processes. Reporting to the Manager of Membership Outreach and Engagement, the incumbent engages with members, supports the development of new membership offerings, and helps optimize internal workflows.

Key Responsibilities:

Member Support and Communication:

  • Serve as the primary contact for membership inquiries by phone and email, providing timely, professional service.
  • Administer membership applications, renewals, reminder communications, and recognition programs, while maintaining accurate database records.
  • Support the planning and delivery of membership-related activities for the PDAC Convention and other member events.
  • Coordinate with external suppliers and partners on membership materials, event support, and related projects.

Project and Database Management:

  • Use project management tools such as Asana to track tasks, deadlines, and team responsibilities.
  • Test online membership forms, conduct audits of membership categories, and support database maintenance to ensure accuracy and functionality.
  • Work with IT and internal teams on data clean-up, record consolidation, duplicate removal, and workflow improvements.
  • Prepare and review regular reports, including donation reports, reconciliations, membership comparisons, trend analyses, and other internal reporting.

Member Engagement and Development:

  • Draft and update membership communications, including renewal notices, newsletters, and social media content.
  • Assist in the development of membership initiatives, programs, and events that enhance member value and engagement.
  • Maintain and update membership-related website content to ensure information is accurate, current, and accessible.

Other Duties: Undertake additional responsibilities as required, aligned with PDAC’s strategic priorities.

Qualifications:

  • Post-secondary diploma/degree in business, communications, marketing or a related field, or equivalent job-related experience.
  • Minimum of 2-3 years of recent, relevant experience in administrative roles, with a focus on customer service and membership/database management.
  • Experience in event planning and coordination is an asset.
  • Proficiency in Microsoft Office Suite; Word, Excel, PowerPoint, and Outlook. Familiarity with association management systems (databases) and content management systems such as Craft CMS is an asset.
  • Experience with project management tools, such as Asana, is beneficial.
  • Exceptional interpersonal, written and verbal communication skills, with proofreading abilities.
  • Exceptional customer service skills with a demonstrated ability to handle difficult situations with tact, diplomacy, and professionalism.
  • Demonstrated organizational and time management skills with the ability to handle multiple concurrent tasks in a deadline driven environment.
  • Proven analytical and critical thinking skills to identify and resolve workflow inefficiencies.
  • Ability to work independently and collaboratively within a team environment.
  • Work with integrity; able to maintain confidentiality in handling sensitive information.
  • Superior attention to detail and a commitment to accuracy.

The successful candidate will be working in a hybrid work model, with the requirement to attend the PDAC office 1-2 days per week, as well as work on-site during our in-person convention. The PDAC office is located at 170 University Avenue, Suite 800, Toronto, Ontario.
