
COORDINATOR, LEARNING ADMINISTRATION
About the position:
Under the supervision of the Acting Director of Technical Programs and the Senior Director of Member Services and Communications, the Coordinator supports the Learning Program's activities and serves as the primary point of contact for clients, ensuring timely and professional communication.
You will spend two-thirds of your time supporting the setup, delivery, and evaluation of webinars and training courses. This includes managing learning platforms, configuring client access, building registration forms, and overseeing event logistics—ranging from scheduling and hosting to post-event reporting. The remaining third of your efforts will focus on providing timely, engaging, and detailed front-line external, as well as internal, customer service. Additionally, you will maintain clean and consistent member data across various platforms.
You will have strong attention to detail and skills related to organizing, serving customers, and communicating in both English and French. You are a proactive and collaborative colleague who is comfortable and confident using digital platforms, whether meeting with people or helping to deliver learning content. You’ll undertake a variety of tasks to deliver online learning and training courses covering topics related to roads, highways and urban transportation.
The position’s main responsibilities are:
Learning program
Work closely with the Program Manager, Learning and Development, to set up, promote, help deliver and evaluate webinars and training courses using several different software platforms- Be the in-house Learning Management System (LMS) expert, setting up courses (structure, uploading content, and organizing materials); creating assessments and question banks; and issuing certificates and digital badges
- Configure training course access and manage user roles and permissions
- Manage Zoom (or similar online hosting platform), including event setup, presenter/instructor training and support, and live event hosting and support (attendee and technical)
- Be the point of contact for learners, including deploying pre- and post-event communications and evaluations
- Manage and monitor learner registration data and provide regular registration, attendance and other reports
- Collaborate with internal teams to ensure that communications, promotions, and the delivery of materials and videos foster engagement and provide a consistent TAC brand experience
Client services and data coordination
- Receive, triage and redirect general phone calls and emails received by TAC to the appropriate staff
- Answer verbal and written enquiries in both English and French from clients, learners, members and volunteers
- Perform tasks to set up and maintain data profiles for these clients across various platforms (database, SharePoint, etc.)
- Collaborate with others to establish and maintain data standards and pull, reconcile and share regular data reports, lists and logs
- Assist with various tasks before, during and after the biannual technical meetings and annual conference
- Provide general office administration, including greeting visitors/service providers, processing incoming and outgoing mail, and filing
You will bring:
- A relevant college or university degree, and at least three years of applicable employment experience
- Fluency in spoken English and French; fluency in written English and intermediate written French
- Proficiency with MS Office suite (Word, Outlook, Teams, SharePoint, Excel, PowerPoint)
- Experience managing data, databases/customer relationship management systems
- Digital fluency, especially organizing online meetings and using learning/training platforms
- Attention to detail for proofreading, quality control, consistency, data management and standardization
- A self-starter mindset with curiosity, resourcefulness, and a drive for continuous improvement
- Experience serving customers and providing administrative support
- Excellent interpersonal, verbal and written communication skills
- Responsiveness, tact, courtesy and collaboration with both external clients and internal colleagues
- Time management, multi-tasking, and prioritization skills
Also considered assets are:
- Fluency in written French
- Experience in marketing, communications, and project or event coordination
Compensation and other details:
- This is a full-time position with a salary of $62,500 to $68,500 per year, plus a comprehensive benefits package, generous paid annual leave, a pension contribution matching program, health group benefits, and professional development opportunities.
- This salary and benefits are offered in exchange for an eight-hour workday (e.g. 8:30 to 4:30 or similar), Monday to Friday, in a pleasant office environment in Ottawa, Ontario. (The ability to work from home up to two days per week may be arranged.)
- Travel and overtime/weekend work may be required once or twice per year.
