About the Role
This is an exciting opportunity for an individual who is collaborative, well organized, people centred, and who is passionate about building a positive company culture.
As the Coordinator, HR & Administration, you will ensure that HR policies and procedures are up to date, in line with our collective agreement terms, and communicated to all employees. You will provide ongoing support and coordination relating to various HR functions (managing recruitment processes, responding to HR queries, administering benefits, keeping accurate employee records, onboarding, etc.).
The successful candidate will report to the Manager of Operations, and will work in collaboration with other members of the operations team and the Executive Committee.
Responsibilities include, but are not limited to:
- Recruitment & Onboarding: Manage the end-to-end recruitment and hiring processes for lawyers and support staff, including candidate sourcing, application screening, interview scheduling, and managing offer letters & employment contracts. Lead employee onboarding, including benefits administration, training schedules, IT set-up and testing, workspace planning, and Day 1 training and introductions.
- HR Policies, Compliance and Culture: Work with the team to develop and update policies, and ways of working to further advance an open and supportive work environment. Communicate HR policies and procedures to staff as required. Ensure the firm remains compliant with the terms set in staff and students’ collective agreements, and relevant labor laws and regulations.
- Daily Operations: Receive, respond to, and coordinate coverage for support staff vacations and absences, including daily communications across departments, and distributing urgent workload.
- Benefits & Leaves Administration: Administer the benefit plans, including supporting staff enrollment, status changes, issues with claims, etc. Oversee leave administration, including insurance, cross-functional coordination, and return-towork re-integration.
- Employee life cycle: Support employee feedback meetings, performance management, and terminations as needed.
- Meeting Coordination & Social Committee: Assist with the scheduling and organization of various firm management meetings and processes, as well as preparation, distribution and record keeping of related materials. Serve on the Social Committee, strengthening culture-building initiatives across a hybrid workplace.
- Event Coordination: Assist in the organization and coordination with lawyers and administrative staff to develop customized events that meet Cavalluzzo’s business development objectives including panel/speaking opportunities, seminars and conferences, promotional client events, receptions and Firm social events.
- Communications: Coordinate the updating of internal website content. Support the Manager of Operations in implementing internal communication strategies to keep the team informed and engaged.
- Health & Safety: Stay abroad to health & safety legal requirements, participate in health & safety committee, and support the Manager of Operations in executing and monitoring Health & Safety plans.
- Records keeping: Maintain HR records and administer tracking sheets, overtime, lieu time, and total rewards information in ADP Workforce Now, ensuring accurate staff records are kept at all times, and in accordance with the legislation and privacy requirements.
Job Requirements
- Prior experience in HR and office administration
- Knowledge of HR wise practices, labour laws, benefits administration, and internal communication tools
- Ability to address HR issues, communicate HR policies to staff, and provide practical solutions
- An ability to monitor and interpret change in HR regulations
- Demonstrated ability to build trust and maintain reciprocal relationships with a wide range of individuals
- Effective time management, prioritization and organizational skills, with the ability to work independently and collaboratively
- A strong attention to details, and an ability to maintain accurate records and handle administrative tasks efficiently
- Excellent interpersonal, verbal and written communication skills (English)
- An ability to handle confidential information with care and discretion
- A strong work ethic and high level of integrity
- Strong technical skills, including the use of MS Word, Excel, PowerPoint and document management systems
- A strong commitment to advancing equity, accessibility, and inclusivity both internally and in the way processes and internal policies are designed and led
Assets
- Prior HR experience in a unionized environment
- A degree or professional designation in HR (i.e. CHRP designation) A sense of humour
Required Qualifications & Work Environment
- Applicants must be legally entitled to work in Canada
- Physical demands of this position may require the incumbent to spend many hours sitting, walking, bending, keyboarding, working on computer monitor, photocopiers and related equipment, and on occasion lifting heavy books or boxes weighing up to 25 lbs
Target Hiring Salary Range: $65,000-$70,000* based on 40 hours per week. *Salary will be adjusted within the range based on the successful candidate’s skills and relevant experience.
Benefits: Comprehensive benefits package, pension participation and vacation/personal/paid-sick days entitlements (3 weeks of vacation per year)
Location: Toronto, ON. This is a hybrid role. The successful candidate will be expected to work at our Toronto office (474 Bathurst Street) a minimum of three (3) days per week.
Term: Full-Time Indefinite
Position: This role is to fill an existing position that will be vacant at the end of August 2026/early September
