Coordinator, Granting – Three Positions Available

(Two Full-Time Permanent Positions; One Full-Time Temporary Position Until June 25, 2027)

Hybrid Eligible

Expected Start Date: Typically 2-3 weeks after offer has been accepted.

Accountability: Reporting to Senior Manager, Granting.

Salary: $67,100 annually, plus pension and a generous, comprehensive benefits package that includes dedicated funds for professional development.

Hours of Work: 35-hour work week, Monday–Friday. For most of us, most weeks we work a 32-hour week Monday to Thursday. Occasional evening or weekend hours and some travel may be required.

About the Position

The Coordinator, Granting supports the delivery of consistent, accurate, and equitable granting processes across Vancouver Foundation’s grant programs. The role coordinates administrative and operational activities throughout the granting cycle, including application intake, review, adjudication, and transition to post-award stewardship, to ensure predictable and compliant workflows.

Reporting to the Senior Manager, Granting, the Coordinator works closely with colleagues across Grants & Community Initiatives, Finance, and other internal teams, as well as with community advisors and external partners. The role supports prospective and current grantees, maintains data integrity in the grants management system, and ensures clear communication and smooth handoffs across each stage of the granting process.

This position plays an important role in supporting fair and informed decision-making, responding to inquiries, and identifying opportunities to improve granting practices and systems. Grounded in equity, cultural humility, and psychological safety, the role supports ethical granting and positive relationships with communities and partners.

Key Responsibilities

Grant Program Support

  • Coordinate and administer grant programs from start to finish, ensuring accuracy, compliance, and smooth workflows across the granting cycle.
  • Maintain accurate grant records and uphold data integrity in the grants management system.
  • Support grant seekers during the application process by providing timely assistance.
  • Validate proposals for completeness and ensure they move through internal review.
  • Assist with committee adjudication processes to enable fair and informed decision-making.
  • Ensure smooth handoffs to Grantee Stewardship by providing accurate post-award information.
  • Monitor grantmaking practices for compliance and contribute to process improvements.
  • Transcribing grant application interviews for our oral application option.

Administration and Engagement

  • Respond to inquiries and triage complex questions to appropriate team members.
  • Monitor central mailboxes for granting programs and ensure timely responses.
  • Support preparation of materials for committees and stakeholders in collaboration with the Senior Manager or Manager.
  • Track key dates, deliverables, and documentation to maintain predictable workflows across the granting cycle.

Collaboration

  • Act as a liaison with Finance and other internal teams to support grant administration and payment processes.
  • Ensure appropriate escalation of complex issues, risks, or sensitive matters to the Manager or Senior Manager.
  • Contribute to continuous improvement initiatives across the Grants and Community Initiatives department.

Other Duties as Assigned.

Requirements

Education/Experience:

  • Minimum 1 year experience in program administration and operations; experience in grantmaking is an asset.
  • Minimum 1 year experience in not-for-profit and/or social purpose organization in a paid or volunteer capacity.
  • Experience in providing administrative support for major projects/programs/events.
  • Experience in complex environments that demand priority-setting and balancing competing interests and needs.
  • Demonstrated ability to work with diverse communities at various levels (from grassroots organizations to government ministries).
  • Previous experience with SmartSimple is an asset.

Job-Specific Skills/Attributes:

  • A quick learner with a natural curiosity and desire to ask questions.
  • Strong technical skills include the ability to use a range of software applications.
  • Strong organizational skills with the ability to manage multiple tasks, track details, and maintain accuracy across workflows.
