Overview: The Donor Relations and Data Stewardship Coordinator provides excellent customer service to retain and acquire new IJM supporters, ensures the maintenance of accuracy of supporter information and associated data while maintaining confidentiality of privileged and sensitive information.

Key Result Areas (KRAs):

The success of this role is measured by the following KRAs:

  1. Data Management and Insights: Contribute to ensuring Salesforce data is accurate and current. (40%)
  2. Donor relations: The retention and cultivation of donors. (20%)
  3. Gift Processing: Ensuring that gifts received, one-time or monthly, are processed according to donor directions. (40%)

Roles and Responsibilities:

Documentation, Reporting, & Data Management

  1. Tracking errors and inconsistencies in Salesforce data and engaging the IJM Global Technology Services Salesforce team to resolve errors or data problems.
  2. Addressing Fundraise Up to Salesforce integration issues and errors with support from relevant teams.
  3. Responding to Salesforce tasks including campaign creation and assignment of relevant GAUs.
  4. Updating donor account information including receiving and entering new constituents from events, and other sources into relevant database, preventing duplicates and ensuring data integrity.
  5. When required, support mailing list creation for integrated campaigns.
  6. Contribute to compliance with all relevant data privacy legislations and requirements such as CASL.
  7. Provide back-end support for other giving platforms, such as Paypal, Stripe and Funraise (Engaging Networks). Supporting Mass, Mid-level and staff with IJMC CRM inquiries.

Communications: Donor Relations

  1. Responding to constituent phone calls and emails, in alignment with the organization’s standards, regarding contribution inquires, contact information updates, credit card or banking updates, and IJM Canada resource orders via credit card.
  2. Manage three incoming Organizational emails and distributing as required
  3. Receipting including:
    1. Print and mail receipts to donors who do not have an email address or who have requested print copies.
    2. Problem solving in the receipting process includes issuing duplicate receipts as required.
  4. Manage and execute the Freedom Partner retention activities, such as retention calls and emails.
  5. Responsible for recording and providing voicemail messages for office closures within Canada.
  6. Manage donor portal inquiries and issues regarding account, logins and missing gifts.
  7. Liaising with the US Donor Relations team for consistent donor services between Canada and U.S with U.S. donor services lead.
  8. Creating, printing and mailing Freedom Partner welcome kits and thank-you letters.

Gift Processing

  1. Support gift processing activities including:
    1. Providing support for receiving and entering all donation information from cheques, and pre-authorized debit (PAD) into the relevant database, including scanning and attaching original documentation for monthly supporters.
    2. Facilitating recurring donations via credit card.
    3. Providing support for PAD and following-up with exceptions (declined, expired); facilitating gifts in honour/memory of individuals, and facilitating company matching gifts.
    4. Maintaining soft copy of files.
  2. Contact donors regarding missed gifts or expired credit cards.
  3. Approve all online giving forms and response devices for IJMC:
    1. Ensure Fair Market Value (FMV) policies for response devices and receipts.
  4. Support the Fundraise Up migration of recurring donors and launch Fundraise Up donor portal.

Finance Administration Support

  1. Providing support to financial aspects of third-party events, cheque exchanges and gift-in-kind.
  2. Advise Director of Finance & Administration about Stripe, Paypal, and other processing gift platforms of ongoing verification maintenance.

General Tasks

  1. Complete administrative tasks as assigned such as supporting the development of relevant lines in the Mass and Marketing or Operations budgets.
  2. Be key team member for onboarding any payment platform.
  3. Participate in IJM’s community of spiritual formation.

Supervisory:

  1. This position reports to the Director of Finance & Administration.
  2. No direct reports.

Qualifications:

Education & Experience

  1. 1-2 years of professional experience in donor relations, fundraising, or a related field.
  2. 1-2 years experience in data entry and financial administration.
  3. Proven ability to provide professional customer service to a variety of constituents.
  4. Bachelor’s degree.

Technical Competencies

  1. Knowledgeable of Microsoft Office, such as Word and Excel.
  2. Exceptional ability in written and oral communications.
  3. Detail-oriented and solution focused.
  4. Demonstrated ability to manage and maintain accurate data.
  5. Prior experience using fundraising or sales related CRM, Salesforce preferred.
  6. Ability and willingness to learn different software platforms.
  7. Familiarity with back-end platforms and workflows.
