Job Title: Coordinator, Database

Reports to: Director, Fund Development

Role

Reporting to the Director, Fund Development, the Coordinator, Database supports the day-to-day operations of our donor database and integrated fundraising systems. This role is responsible for accurate and timely gift processing and donor record management, data entry, and data hygiene across Raiser's Edge NXT and connected platforms, ensuring the integrity, efficiency, and confidentiality of all donor and fundraising data. The Coordinator plays a key role in maintaining data integrations, documenting database procedures, and supporting campaign reporting and analysis that informs fundraising decisions. This role is well suited to a collaborative, solutions-oriented team player who enjoys supporting smooth processes, identifying practical improvements, and helping the team do its best work.

Responsibilities

Gift Processing & Donor Records

  • Process direct debit monthly donations and provide support for processing all incoming donations, including online, mail, and third-party platform gifts, in Raiser’s Edge NXT, ensuring accurate and timely entry of donor records, pledges, and gifts.
  • Support donor stewardship by building and maintaining workflows, custom donation pages, and automations in support of Fund Development team objectives.
  • Reconcile gift entries with finance and approve batches on a regular basis, identifying and resolving discrepancies.
  • Monitor the Monthly Donor program, identifying and flagging uncollectable and missed transactions.
  • Support supporter relations by troubleshooting donor issues related to gifts, acknowledgements, and record updates, escalating complex transaction issues as needed.
  • Process refunds and chargebacks in accordance with internal procedures.

Database Maintenance & Data Hygiene

  • Maintain the donor database including maintaining integrations, data clean-up, deduplication, and updates to donor records — including deceased record updates and address and phone updates (e.g. NCOA processing) — to ensure data accuracy and integrity.
  • Create and maintain appeals, campaigns, and funds, ensuring nomenclature is consistent and aligned.
  • Maintain database tables and codes to ensure consistency and continuity of data entry.
  • Review and approve donor-initiated updates submitted through the donor portal on a regular basis.
  • Develop, maintain, and regularly review database procedures and best practices documentation, ensuring processes are clearly recorded and updated as systems or workflows evolve.
  • Monitor and support data integrations between Raiser’s Edge NXT and external platforms, reviewing inbound and outbound syncs to ensure donor information and communication preferences are accurately reflected in Raiser’s Edge NXT and updated in accordance with CASL requirements.

Campaign & Reporting Support

  • Prepare data files (imports/exports, letter lists) for direct mail, telemarketing, and email campaigns, and track/report results during active campaigns to enable timely adjustments.
  • Run queries, reports, and data files in a timely manner, flagging notable trends or issues for the Director, Fund Development.
  • Maintain existing dashboards and prepare regular reports for the Fund Development team.
  • Support recurring programs such as the monthly donor reactivation campaign, along with special initiatives and ad-hoc requests.
  • Other projects and support on an as-needed basis.

Qualifications

  • University degree, college diploma, or equivalent relevant training and experience.
  • 1–2 years of experience in data entry, gift processing, or database administration, using Raiser's Edge NXT or an equivalent donor database/CRM.
  • Excellent attention to detail and accuracy, with strong analytical skills and a solutions-oriented approach to identifying and resolving issues.
  • Knowledge of donor records management, including CASL, PIPEDA, and data privacy best practices.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines, and a demonstrated interest in learning new skills and developing efficiencies.
  • Excellent written and oral communication skills, with the ability to maintain confidentiality and professionalism, and proven ability to work both independently and collaboratively.
  • High proficiency with Office 365 and Microsoft Excel.
  • Experience working directly with supporters or donors, and/or fundraising experience in a nonprofit or advocacy organization, is an asset.
