Greenwood is currently seeking a Coordinator, Advancement Database & Administration.
ROLE OF THE COORDINATOR, ADVANCEMENT DATABASE & ADMINISTRATION:
The Coordinator, Advancement Database & Administration will be part of the Advancement & Community Engagement (ACE) team at Greenwood. As a member of this team, the Coordinator is a role model of Greenwood’s character pillars and supports the strategic direction of the school.
The Coordinator, Advancement Database & Administration plays the key role in database management for the ACE team and will play an integral role in donor acknowledgement and stewardship. In addition, this role will support a variety of projects and initiatives in Greenwood’s Advancement Office including Alumni relations, event planning and execution, and administrative support to the Advancement team around marketing, communication, annual giving and constituent relations. Greenwood has a young and strong alumni base who would benefit from a strong champion and connection to the school.
Reports To: Executive Director, Advancement & Community Engagement
Position Summary:
The Coordinator, Advancement Database & Administration will work closely with their ACE colleagues, volunteers and school staff. Primary responsibilities include:
Database Management:
- All gift processing duties (i.e. pledge reminders, donation reconciliation, charitable tax receipting, etc.)
- Monthly, quarterly and annual donation reconciliation with Business Office
- Prepare donor and volunteer lists for annual giving and other impact reports
- Prepare mailing/email lists and reports from Raiser’s Edge
- Maintenance of Advancement database (i.e. ensure data clean-up is maintained and new constituents are added into RE NXT regularly, set up new funds, update annual campaigns, appeals)
Administrative Management:
- Provide research, prospect, and pipeline management
- Assist in the production of reports for the Board and Foundation Board
- Coordinate ACE policies
- Assist with and attend ACE events as required
- Process thank you letters for all school and foundation donations
- Assist with stewardship reports and endowment reports
Qualifications and Experience
- University degree or equivalent combination of work experience and education
- 3-5 years of Advancement-related work is an asset
- Excellent knowledge of Blackbaud and Raiser’s Edge
- Experience conducting prospect research
- Strong knowledge of the independent school community is an asset
- Strong written and verbal communication skills
- Ability to set and achieve goals and objectives
- Experience working in a major gift setting would be an asset
