What you will be doing:
Client Services & Match Support
- Support client intake, assessment, and database entry
- Support clients by coordinating interviews, sending engagement communications, and documenting histories
- Assist in maintaining and updating the client-volunteer match database
Volunteer Coordination
- Post and manage volunteer recruitment on various platforms
- Maintain volunteer records, conduct background and criminal record checks
- Support volunteer onboarding, training sessions, and recognition events
- Manage communication and engagement efforts including correspondence and scheduling
- Collect and process monthly volunteer activity reports
Training Coordination
- Track and fill training sessions as needed. Ensure confirmation of attendance
- Send training details as to times and locations, including log in details as needed
- Send reminders and follow-ups for upcoming training sessions to ensure participant attendance
- Print training manuals and arrange for volunteer pick-up or email as needed
- Send volunteer training feedback forms to any not completed in last session
- Print and organize certificates of completion for distribution during training wrap-up events.
Program & Educational Support
- Maintain accurate program and participant records
- Assist in follow-up communication with program participants
- Support educational programming: send invitations, follow-ups, track attendance, and contribute to content development
Database & Systems Management
- Oversee daily operations and maintenance of the Infoflow database
- Migrate and audit organizational data, ensuring accuracy and consistency
- Serve as a liaison to technical support and provide team training on system use
Digital Engagement & Communications
- Create and manage content for social media and website in alignment with program messaging
- Design visual assets for campaigns and adapt content for platform-specific engagement
- Collaborate on digital promotion of organizational and partner activities
Administrative & Event Support
- Schedule and manage Zoom meetings for clients, volunteers, and training sessions
- Prepare certificates, reminders, and follow-ups for volunteer trainings and events
- Track inventory and supplies for volunteer programs and events
Education & Experience
- Bachelor’s degree in business, Marketing, Information Technology, or a related field preferred
- 1–2 years of administrative support experience
- Experience working with seniors and volunteers is a strong asset
Skills & Competencies
- Welcomed: Proficient in other languages
- Strong organizational, interpersonal, and multitasking skills
- Excellent written and verbal communication abilities
- Experience with database systems and digital tools (Excel, Google Docs, scheduling platforms)
- Ability to work both independently and collaboratively
- Strong attention to detail and problem-solving capabilities
- Comfort managing both administrative and client-facing responsibilities
Working Conditions
- Combination of office and field-based work

- Occasional evening and weekend work required
