Role Title: Club Manager

Reports To: Board of Directors

Position Type: Permanent Part-Time (20hrs/week)

Pay Range: $32-35/hr, with 3 weeks paid vacation (pro-rated based on expected weekly hours)

Location: Metro Vancouver

Position Overview

The Club Manager oversees the day-to-day operations, administrative functions, and operational leadership of the Vancouver Hawks Field Hockey Club. This role serves as the central liaison between the Board of Directors, coaching staff, members, facility providers, and regional/national governing bodies. The primary objective is to ensure smooth seasonal logistics, foster member growth, maintain financial stability, and champion a positive club culture across all age groups and skill levels. This position is primarily remote, with some required travel within Vancouver to attend meetings and club events and facilities.

Key Responsibilities

  1. Program Operations and Management

Facility Management: Secure and schedule turf, pitch hire, and training venues for practice sessions, matches, and special events.

Staff Management: Hire, direct and oversee other club staff and temporary contractors. Hold regular staff meetings. Set expectations for staff collaboration and intra-club communications. Perform annual performance reviews with each staff member in June/July and present outcomes to the board in the August/September board meeting.

Program Execution: Work with the Head Coach and Program Coordinators to plan and launch junior programs, adult leagues, camps, and clinics.

  1. Membership & Stakeholder Communication

Member Relations: Manage registration processes, handle member inquiries, and onboard new players, coaches, and volunteers.

Board Liaison: Attend monthly board meetings to provide updates on club operations. Lead with proposals and actively seek board input where required. Collaborate with the Board President to further club goals and policy development.

Partner Organization Liaison: Maintain communication channels and collaborations with PSO and NSO counterparts, as well as any League governing bodies (e.g.

VMFHL, VWFHA). Attend meetings where necessary and advocate on behalf of the club and its members for policy changes.

  1. Financial & Administrative Management

Budget Tracking: Prepare annual budgets on a program-by-program basis to ensure Club financial stability. Coordinate with the Treasurer to prepare financial reports.

Grant Applications: Apply for funding where appropriate, including, but not limited to, the Community Gaming Grant. Ensure compliance with Grant reporting requirements.

Compliance & Governance: Maintain active player liability waivers, safeguarding policies, background checks, and first-aid compliance across all staff and coaches.

  1. Event Management

Event Hosting: Plan and execute club tournaments, social gatherings, end-of-season awards, and fundraising initiatives.

  1. Risk Management & Policy Implementation

Develop Policy: Draft policies for organizational operations and procedures and present to the board for amendment or approval of organizational policies. Ensure staff are informed of and following Club policies.

Risk Management: Develop a Risk Register and Risk Management plan. Assess risks to the organization and present recommendations for action to the Directors.

Qualifications & Competencies

Experience:

2+ years in sports management, recreational administration, or event organization (field hockey background preferred, but not strictly required). Experience managing an annual budget of at least $10k.

Experience with drafting and submitting successful grant applications and reporting.

â—¦ Preference for candidates who have experience with applying for the Community Gaming Grant specifically.

Prior board experience with non-profit organizations.

Skills:

Strong organizational skills, proficiency with sports management software (e.g., TeamSnap, LeagueApps, or SportEngine), and ability to communicate clearly and promptly (written and verbal) with internal staff, the club at large and the general public.

Personal Attributes:

Strong interpersonal skills, leadership, conflict-resolution ability, ability to work independently and proactively without direct supervision, and flexibility to work non-standard hours (evenings and weekends).

Ability to travel within the Vancouver area.
