Planned Parenthood Toronto (PPT) is a fully accredited community health centre that provides primary health care services to youth 13 to 29 years as well as health promotion programming, education, training and research to improve the health and well-being of Toronto’s diverse communities.
We are currently seeking Relief Clinic Receptionist(s) to work on an as-needed basis at both our Downtown and North York Clinic locations. The hours available are not guaranteed and the successful candidate(s) will be placed in a relief staff pool to assist when permanent staff are on leave.

POSITION OVERVIEW
The Clinic Reception – Relief person is responsible for providing initial and ongoing contact to clients related to general issues of primary health care including, sexual & reproductive health and is responsible for administrative duties related clinic reception. The Clinic Receptionist – Relief provides clerical, administrative support and reception functions for PPT.
RESPONSIBILITIES
Specific Responsibilities:
- Be available to work at least four shifts per month as needed (shift lengths vary from 4-7.5hours)
- Flexible availability including mornings, afternoons, evenings, Saturdays.
- Coverage for both Downtown and North York Clinics
Front Desk Responsibilities:
- Provide a point of first contact on the phone or in person to visitors and clients to the agency.
- Front desk duties, including: answering a busy phone system, greeting clients arriving for appointments, providing information to clients, emailing appointment reminders to clients, registering clients virtually and in-person, booking appointments and maintenance of client records in the electronic medical record (EMR).
- Scan and e-file documents into client EMR during every shift ensuring that information is complete and accurate in registration.
- Provide clients with contraceptive supplies and medications according to agency policy and in compliance with regulatory dispensing requirements; provide compassionate stock according to PPT guidelines.
- Perform opening/closing procedures including inventory and sales reconciliation as scheduled.
- Maintaining a respectful, harmonious environment for clients and coworkers.
- Provide information on PPT’s programs and services and community resources.
- Maintain a safe environment, ensuring client’s confidentiality and privacy is upheld.

- Available to work evenings and weekends as required.
- Perform specific responsibilities when clinic administrative colleagues are on vacation or leave to ensure essential services are maintained as directed.
- Contribute to the quality of care provided to clients which meets a high standard consistent with PPT’s philosophy of client-centered, non-judgmental, client-empowering support and service.
- Identify and communicate issues and potential problems to the team and Clinic Manager.
- Perform other duties from time to time as related to the job.
- Support agency-wide values, goals and objectives.
QUALIFICATIONS
- A minimum of 1-2 years’ experience in an administrative or similar role
- An individual who is highly organized, detail oriented, able to keep pace with rapid change will be well suited to this role.
- Experience working with youth an asset.
- Knowledge of sexual health and community resources an asset.
- Demonstrated proficiency and knowledge using Microsoft Office, email and calendar management, and internet browsing. Experience with Telus PSS an asset.
- Commitment to pro-choice philosophy.
- Demonstrated commitment to equity goals and principles, sexual and reproductive rights and to being youth-centred, 2SLGBTQ positive, and sex-positive and to being inclusive of diverse sexual and gender identities.
- Commitment to trans-centred and anti-oppression, anti-racist values.
- Commitment to working from a community development perspective
- Commitment to working cooperatively in a community-based setting as part of an interdisciplinary team.
- Excellent written and verbal communication skills.
