Job Title: Campaign Assistant
Position Summary:
The Campaign Assistant plays a key role in supporting the fundraising and donor engagement efforts of William Osler Health System Foundation (Osler Foundation). This position is responsible for providing a full range of administrative and logistical support for fundraising campaigns, donor communications, event coordination, database management, and cultivation activities. The ideal candidate is detail-oriented, highly organized, and passionate about advancing health care through philanthropy.

Location: Peel Memorial Centre for Integrated Health & Wellness, with periodic travel to Brampton Civic Hospital and Etobicoke General Hospital

Osler Foundation is the fundraising arm of William Osler Health System (Osler), which serves 1.3 million people in Brampton, Caledon, North Mississauga, Etobicoke, and surrounding areas—one of the fastest-growing and most ethnically diverse regions of Canada.
William Osler Health System Foundation is embarking on Osler’s largest capital campaign to date to build a new multi-story in-patient tower on the Peel Memorial site. Key Responsibilities (including but not limited to):
Capital Campaign, Administrative & Major Gift Fundraising Support:
- Lead scheduling and logistics of prospect and donor meetings and calendar management for senior members of the Major Gifts team, including the CEO and SVP.
- Drive follow-up and next steps, draft confidential briefing notes and materials, correspond with donors on behalf of the CEO and SVP. Organize meeting logistics including greeting donors, preparing meeting rooms, organizing catering, etc.
- Prepare campaign materials, donor proposals, presentations, and reports.
- Support CEO and SVP in building and maintaining relationships with donors and prospective donors.
- Provide day-to-day administrative support to the Major Gifts and Campaign teams.
- Maintain Major Gifts and Campaign related timelines and track deliverables and deadlines.
Database Management & Reporting:
- Enter and maintain data in donor records, including the CRM database (Raiser’s Edge)
- Ensure accurate entry of donor interactions and proposals and maintain updated contact information.
- Generate regular donor reports, mailing lists, and campaign progress updates in collaboration with the Operations team.
Donor Relations & Communications:
- Collaborate with colleagues to execute extraordinary cultivation experiences, including cultivation and celebration events (i.e. gift announcements), and personalized donor communications and acknowledgements on behalf of the CEO and SVP.
- Support cultivation, stewardship, and recognition events by helping with prospect identification, guest lists, invitations, RSVPs, follow-up, post-event outreach, guest welcoming, and event logistics.
General Support:
- Draft responses to inquiries from donors and stakeholders with professionalism and confidentiality.
- Coordinate internal and external meetings and maintain development calendars.
- Organize and maintain the digital filing system for donor and constituent files.
- Assist with major gifts donations processing as needed.
- Ensure smooth operations and process within the Major Gift department.
- Serve as a point of contact for the team and respond promptly and professionally to inquiries.
- Perform other duties as assigned to support the goals of the Foundation.
What you will bring to Osler Foundation:
- University Degree, College Diploma or a combination of relevant experience.
- 3+ years or more within a fundraising/charitable/not-for profit organization.
- Experience working with senior staff in fundraising and health care organizations is a definite asset.
- Professionalism, judgement, and discretion in dealing with confidential and sensitive matters.
- Deadline and results-oriented, with excellent attention to detail and accuracy.
- Excellent relationship building skills.
- Experience working with diverse communities.
- Exceptional written and oral communication skills.
- Strong organizational and analytical skills.
- Evidence of initiative, diplomacy, tact, and creativity.
- Demonstrated ability to collaborate with colleagues, senior volunteers and senior medical staff.
- Ability to work independently and proactively under pressure.
- Strong computer literacy: MS Office (Outlook, Word, Excel, Power Point), Raiser’s Edge; familiarity with Adobe Photoshop & InDesign an asset.
- Holds a driver’s license and has access to a vehicle.
