Reporting relationship: This position reports to the Executive Director or Operations Manager (TBC).

Hours of work: part-time, 2-3 days/week (7 hours/day)

(More hours possible to take on additional duties such as administrative work or financial analysis, depending on skills and availability)

We are a charitable organisation offering transitional housing and immigration and settlement support in the spirit of good neighbours, valuing dignity, mutuality, and care. Job purpose: The Bookkeeper is responsible for the accurate day-to-day recording, processing, and reconciliation of Romero House’s financial transactions. The role supports internal management, audit, and external reporting by preparing financial records, schedules, and draft reports in accordance with established policies and procedures, under the direction of management and the Treasurer.

Duties and Responsibilities:

  • Maintain accurate financial records using QuickBooks, including journal entries, general ledger, and financial statements
  • Manage full-cycle Accounts Payable and Receivable, including bills, payments, deposits, donations, and tax receipting
  • Allocate expenses to correct GL accounts, classes, and HST codes; maintain petty cash and transit cards and tickets
  • Prepare and process payroll through a third-party provider, including T4s and required remittances
  • Complete monthly bank, balance sheet, and restricted fund reconciliations
  • Assist with annual budgeting, audits, and year-end adjusting entries
  • Prepare government and funder filings, including HST, CRA returns (T3010), and other required reports
  • Ensure compliance with internal financial policies and CRA regulations
  • Provide basic financial guidance to staff and attend meetings as required
  • Prepare monthly financial reports (cash flow and actual vs. budget) for management and Board

Qualifications (Required)

  • Post-secondary education in accounting, bookkeeping or a related field
  • 2-4 years of bookkeeping or accounting technician experience
  • Proficiency with Quickbooks Online
  • Proficiency with spreadsheets (Google Sheets or Excel)
  • Experience processing payroll using a payroll provider
  • Strong attention to detail and ability to follow documented procedures
  • Ability to manage recurring deadlines and multiple priorities
  • Strong written and verbal communication skills in English

Assets (Helpful but not required)

  • Experience working in a nonprofit or charitable organization
  • Familiarity with the following softwares or equivalent: Plooto, ApprovalMax, Dext, Zoho Forms, Dayforce Powerpay (Ceridian), Float Financial, CanadaHelps (payment platform), CanadaHelps DMS, Salesforce, DocHub, Adobe Pro
  • Proficiency with Google Workspace
  • Experience with fund accounting or class tracking
  • Experience preparing supporting schedules for audits, T3010, and funder reports
  • Experience working in diverse communities
  • Self awareness with respect to power, privilege, and prejudice and tools to promote equity and inclusion
  • Experience in the Romero House community

Working conditions

  • Working indoors
  • Working with vulnerable populations including recent migrants, low-income, trauma survivors, non-English speaking
  • Communicating with claimants using digital translation tools, volunteer and professional interpreters
  • In-person or hybrid work. Office location: 1558 Bloor Street West, Toronto.

Compensation

  • $28.85/hour
  • 3 weeks paid vacation plus office closure between Christmas and New Year’s
  • paid sick days (prorated based on 10 days for full-time staff)
  • cell phone reimbursement up to $50/month
