Italian Week Ottawa is looking for a volunteer Treasurer to join the Board of Directors.

One of Ottawa’s most iconic annual festivals, and an important symbol of the Italian-Canadian community’s collective identity, Italian Week Ottawa is a not-for-profit organization dedicated to developing and delivering a festival focused on Italian heritage, lifestyle, and traditions.
Position Profile
The Treasurer sits on the Board of Directors (the Board) and serves as the Chair of the Finance Committee. The Treasurer oversees all financial aspects of the organization, ensures that monthly bookkeeping and reporting is completed in a timely manner, liaises with the bank as needed, as well as provides monthly reconciliation reports prior to each board meeting. In addition, the Treasurer prepares the annual returns for the Canada Revenue Agency (CRA), assists with the annual audit, and presents the audit to the membership at the Annual General Meeting (AGM). The Treasurer works closely with the Chair and Vice-Chair of the Board of Directors to prepare a two-year forward-looking financial plan for the organization.
Skills and Competencies
- A good fundamental knowledge of accounting procedures and practices is required.
- Experience as a CPA or bookkeeper is preferred, but not required.
- Proficiency in the use of Quickbooks Online.
- Proficiency in the use of Excel.
Term and Location
Appointed Directors serve a single term of three years, with eligibility for re-election to a second consecutive term of three years. There is no limit to the number of terms a Director can serve.
Board meetings are held remotely; however, from time-to-time meetings may be held in-person in Ottawa.
Time Commitment
The successful candidate will be required to attend board meetings (typically held once a month for 1-2 hours) and work with the Chair and Vice-Chair of the Board of Directors as well as the hired bookkeeper (if one is engaged) to prepare the financial reports in advance of these board meetings. The Treasurer will organize and chair Finance Committee meetings and make themselves available to sign cheques and conduct business with the organization’s financial institution, when required. The Treasurer will also need to attend the AGM to present the financial audit. Board members are expected to be available in-person to assist in events during the festival in June, including a minimum of 12 hours on-site during the three-day Street Festival Weekend. Board members are asked to make a commitment to serve a three-year term.
Remuneration
Service on Italian Week Ottawa’s Board of Directors is without remuneration.
Duties
- fulfill their term as a member of the Board in a volunteer capacity without compensation (pre-approved expenses while conducting Italian Week business will be covered);
- oversee all financial aspects of the organization in line with good accounting practices and in accordance with the law and financial controls and procedures that have been put in place;
- serve as the Chair of the Finance Committee and assign tasks to committee members, as needed;
- manage the workload of the bookkeeper (if one is engaged) and ensure monthly bookkeeping and reporting of the financial position of the organization are completed in a timely manner. In addition, provide monthly reconciliation reports prior to each board meeting, annual budget and tracking;
- prepare and sign cheques in a timely manner to the organization’s suppliers, as needed;
- assist with the annual audit of the organization’s Financial Statements following the year end and present the audited statements to the membership by the AGM;
- assist the auditors in preparing annual returns for CRA returns (and other government requirements), as needed; and
- work closely with the Chair and Vice-Chair of the Board of Directors to prepare a two-year forward looking financial plan for the organization.
