Association Operations Manager, Women’s Law Association of Ontario (WLAO)

The Women’s Law Association of Ontario (WLAO) is seeking an organized, proactive, and highly professional part-time Association Operations Manager to support the day-to-day operations of our volunteer-led organization.

Position Overview

Working closely with the Executive and Board of Directors, the Association Operations Manager serves as the central operational and coordination support for the organization. This independent contractor role is ideal for someone detail-oriented, highly organized, responsive, and able to manage multiple priorities independently.

The successful candidate will play a key role in supporting WLAO’s events, communications, membership engagement, and organizational operations. This position requires strong judgment, professionalism, relationship management skills, and the ability to communicate effectively with lawyers, judges, sponsors, vendors, members, and community stakeholders.

This role is part-time and primarily remote. Attendance is required at board meetings, which are approximately once per month and generally held virtually. In-person attendance is required for WLAO events, primarily within the GTA. Limited travel within Ontario may occasionally be required.

About the WLAO

Since 1919, WLAO has been dedicated to empowering women in the legal profession by providing a collective voice and advocating for equality, diversity, and change. Through professional development, networking, mentorship, advocacy, and events, WLAO supports lawyers, judges, law students, and licensing candidates across Ontario. The organization is entirely volunteer-led.

Key Responsibilities

Operations & Coordination

  • Attend and support board meetings and committee initiatives
  • Manage the association inbox and phone, and respond professionally to external inquiries and stakeholder communications
  • Coordinate organizational workflows, timelines, and follow-up items
  • Maintain organizational records, membership information, and operational documentation and providing reports to the Board when requested
  • Support invoicing, payment tracking, sponsorship administration, and related operational coordination
  • Assist with implementation and follow-through on strategic and operational initiatives

Communications & Member Engagement

  • Coordinate newsletters, announcements, and member communications
  • Draft polished written communications and copy for the newsletter, with minimal editing required
  • Update website content, event information, and promotional materials
  • Support and manage WLAO’s social media presence and communications calendar
  • Respond to member and stakeholder inquiries in a professional and timely manner

Event Planning & Execution

A significant component of this role involves supporting the planning and execution of WLAO’s events and programs throughout the year, including networking events, educational programming, mentorship initiatives, and the annual President’s Awards Gala.

Responsibilities include:

  • Coordinating event logistics from planning through execution
  • Creating and managing event pages on WordPress, including tiered pricing structures and Stripe payment integration
  • Creating and updating the website with items of interest, event photo galleries, news & events, etc.
  • Generating and managing registrations, ticketing, attendee communications, sponsorship deliverables, and guest inquiries
  • Liaising with venues, caterers, speakers, sponsors, photographers, volunteers, and other vendors
  • Preparing event materials, signage, guest lists, and name badges
  • Managing timelines and ensuring deadlines and deliverables are met
  • Supporting award administration, sponsor relations, and guest experience
  • Providing on-site event coordination and support during events

Qualifications

  • Experience in event planning, association management, nonprofit operations, communications, project management, executive support, or a related field
  • Exceptional organizational and project management skills
  • Strong interpersonal skills and sound professional judgment
  • Excellent written and verbal English communication skills
  • Ability to work independently, manage competing priorities, and meet deadlines
  • Strong attention to detail and follow-through
  • Experience with email marketing platforms, social media management, virtual event platforms, and website updates
  • Experience with Joinit, Canva, Eventbrite, Constant Contact, Zoom, WordPress, or Wix is considered an asset
  • Experience working with professional associations, legal organizations, or nonprofits is considered an asset
  • Experience coordinating events and working directly with sponsors, vendors, or stakeholders is strongly preferred

Commitment

  • Independent contractor position
  • Approximately 5 - 10 hours per week, with increased hours during major events and peak programming periods, including occasional evening commitments.

○ Note: While hours are flexible, the role requires regular weekday availability to support ongoing communications, including daily monitoring of the WLAO inbox and timely responses to inquiries and stakeholder communications.

  • Expected start date: July 20, 2026
