About Us
Barrhaven Non-Profit Housing Inc. (BNPHI) is a community-minded organization providing safe, affordable rental housing at Steepleview Crossing in Nepean, Ontario. We manage 41 residential units and are committed to creating a stable, welcoming home for our tenants.
The Opportunity
This is a newly created part-time position designed to support the day-to-day administrative and operational functions of our housing office. You will work closely with the Operations Manager by sharing the workload, providing essential backup coverage, and ensuring that tenants and stakeholders always have a knowledgeable point of contact.

Key Responsibilities
Administrative & Office Support
- Assist with day-to-day office administration, including correspondence, file management, and recordkeeping
- Draft, format, and proofread letters, notices, memos, and reports as directed
- Answer phone and email inquiries from tenants and the public, routing matters appropriately
- Support preparation of board reports, meeting minutes, and committee materials
Tenant Relations & Rent-Geared-to-Income (RGI) Administration
- Serve as a welcoming first point of contact for tenant inquiries, concerns, and service requests
- Receive, log, and follow up on tenant complaints or maintenance requests
- Assist with RGI program administration, including document collection and eligibility tracking
- Communicate building updates, notices, and policy information to tenants clearly and respectfully
- Visit tenant units to investigate maintenance requests and gather information required for contractors
- Become familiar with BNPHI policies and procedures, including the Residential Tenancies Act and Multiple Chemical Sensitivity (MCS) protocols
Operations & Compliance
- Support coordination of scheduled maintenance, contractor visits, and building inspections
- Help maintain records related to work orders, building systems, contractors, and capital repairs
- Assist in monitoring compliance with the Residential Tenancies Act, Health & Safety regulations, and the Human Rights Code
- Provide reliable backup coverage for the Operations Manager during absences
- Support preparation of documentation for audits and City of Ottawa Housing Services reporting
- Carry out minor, everyday-type maintenance tasks such as changing light bulbs, tightening loose door handles, plunging a sink or toilet to assess blockage, turning off water valves or power breakers while waiting for professionals, and organizing storage of maintenance supplies and tools
- Be part of the after-hours on-call emergency contact list and respond when an emergency call occurs, which may require a return to the site outside of regular working hours
- Other related duties as required
Qualifications
Required
- Post-secondary diploma or degree in Office Administration, Business Administration, Property Management, building trades, or equivalent combination of education and experience
- Minimum 2–3 years in an administrative, office coordination, maintenance, or property management support role
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook); experience with Yardi or similar property management software is an asset
- Strong written and verbal communication skills
- Excellent organizational skills with the ability to manage competing priorities in a small, fast-paced office
- Demonstrated ability to handle sensitive and confidential information with discretion
- Commitment to the values of affordable housing, community support, and tenant dignity
- Demonstrated experience with tenant communications and building positive tenant relations is essential
Assets
- Knowledge of the non-profit housing sector or social services in Ottawa
- Familiarity with the Residential Tenancies Act (Ontario) and RGI program administration
- Bilingualism in English and French, written and oral
- Experience supporting a Board of Directors or senior leadership
- Valid Ontario Class G driver’s license
- Experience working with individuals with accessibility needs or other challenges, with a compassionate and respectful approach
- Familiarity with Multiple Chemical Sensitivity (MCS) considerations in a residential housing context
- Comfort with light, hands-on maintenance tasks and willingness to assist tenants with minor everyday service requests
Compensation
The hourly rate is $26.00 – $30.00/hour, commensurate with experience, reflecting current Ottawa-area market rates for part-time administrative and operations support roles in the non- profit housing sector. You will also be joining a supportive, mission-driven team doing meaningful work in the community. This position includes an option of up to 8 additional hours per month for surge requirements, subject to approval. Compensation for on-call availability and any additional hours beyond the standard allotment will be negotiated with the successful candidate.
