Reporting to the Manager of Financial Services, the A/R & Trust Clerk works within the Finance Office responsible for carrying out the clerical duties related to the accounts receivable, accounts payable, resident trust accounts and processing of payroll in a manner that is consistent with the Mission and Values of the Home.

Responsibilities of the successful candidate:

  • Completes all activities related to the resident trust accounts.
  • Work with Residents or their representatives to secure prompt payments of accommodation and unfunded charges.
  • As required review resident contract with new admissions and assist eligible residents in applying for a rate reduction.
  • Prepares tax receipts for accommodation charges.
  • Updates census information daily.
  • Administers cash receipts and disbursements of Residents' Trust Accounts and maintains Trust Accounts petty cash and answers Resident enquiries related to accounts and trust funds.
  • Provides monthly statements of Accommodation and Resident Trust accounts.
  • Conducts all tasks related to the accounts receivable function.
  • Prepares A/R month end and ensures that reports reconcile to banking transactions and that floats reconcile.
  • Maintains general float for petty cash purposes by authorized staff.
  • Responsible for all activities related to the completion of the A/P processing.
  • Prepares bank deposits and completes banking as required using banking software.
  • Ensures all filing is up-to-date.
  • Administration and processing of the SPH payroll and benefit activities.
  • Reviews and audits payroll, benefit and pension transactions for completeness and accuracy.
  • Provides break coverage for Reception as required.
  • Assists Manager of Financial Services, the Finance Team and the Leadership Team with reports as required.
  • All other duties as assigned by the Manager, Financial Services.

EDUCATION OR EQUIVALENT KNOWLEDGE

Post-secondary education in Business Administration, Business Management or equivalent experience & education in bookkeeping, accounting or payroll.

QUALIFICATIONS

  • Strong customer service skills must be able to form good rapport with residents, families, volunteers and staff.
  • Ability to work independently and within a team environment.
  • Excellent communication and organizational skills.
  • Demonstrated proficiency with computer software applications including advanced Excel and Accounting software.
  • Exceptional time management skills with the ability to work under pressure, recognizing the requirement to meet multiple deadlines.
  • Experience in investigating and resolving payroll issues.
  • Accounting knowledge to accurately process payroll, accounts payable and account receivable functions.
  • Basic knowledge of primary accounting principles, accounting systems, budgets and internal controls.
  • Ability to be discrete and ensure confidentiality is maintained at all times
  • High degree of accuracy and attention to detail
  • Ability to handle and reconcile cash
  • Experience in health care would be considered an asset
  • 2-3 years’ experience in Finance/Payroll related functions.
