Tafelmusik is entering an exciting phase of renewal and growth. As the organization prepares for its milestone 50th anniversary in 2028/29, it is investing in initiatives that will deepen audience engagement, diversify its donor base, and strengthen its artistic and educational impact.
Philanthropy is central to achieving these goals. The Annual Giving and Stewardship Officer plays a critical role in building a broad and loyal base of support through annual and monthly giving, stewarding the Tafelmusik donor community, and providing meaningful donor experiences that build long-term engagement.
This position is ideally suited for a development professional eager to contribute to an internationally recognized cultural organization, and to grow within a high-performing, collaborative fundraising team that values creativity, relationship building, and measurable results.
Position Summary
The Annual Giving and Stewardship Officer is a key member of Tafelmusik’s Development team, responsible for managing and growing our annual giving and monthly donor programs, delivering exceptional stewardship activities, and leading the execution of donor events. This is a highly collaborative role ideal for a self-starter with 3-5 years of fundraising experience who is organized, creative, and passionate about the arts.
This position also supports the administrative and operational backbone of the development team — from database and gift management to budgeting, reporting, and coordinating donor communications. You’ll work closely with colleagues across Development, Marketing, and Artistic teams, gaining exposure to all facets of fundraising in a high-performing and collegial environment.
Key Responsibilities
1. Annual Giving Appeals
- Manage the Friends-level individual donor and foundation portfolio to meet annual revenue and retention targets.
- Develop and implement multi-channel donor renewal and acquisition appeals (email, direct mail, digital).
- Grow and enhance the monthly giving program through segmentation, testing, and cultivation strategies.
- Write and edit fundraising content (appeals, e-newsletters, donor spotlights, appeal updates).
2. Donor Stewardship
- Plan and manage all donor stewardship activities in collaboration with the Development Co-Directors.
- Maintain donor benefit tracking and ensure appropriate fulfillment across giving levels.
- Contribute to the development of personalized donor journeys and stewardship plans.
- Plan and manage donor events and donor recognition activities.
- Work closely with volunteers, musicians, and vendors to ensure a welcoming and high-quality experience.
- Coordinate post-event analysis, feedback collection, and follow-up.
3. Data & Donor Management
- Maintain accurate donor records in Tessitura: gift entry, receipting, acknowledgements, and data clean-up.
- Achieve and maintain proficiency with the Development database, taking courses and webinars as needed, providing recommendations on best practices of donor management, and ensure integrity of donor data in the database.
- Generate and analyze reports on appeal results, donor trends, and event attendance.
- Work with Finance and Development teams to ensure donations are properly recorded and reconciled.
- Support data segmentation and list generation for appeals, stewardship, and recognition.
4. Administration & Budgeting
- Track and maintain budgets related to annual campaigns and donor events.
- Process invoices, manage expenses, and assist with vendor contracts and payments.
- Support expense forecasting and assist in year-end reporting and revenue projections.
- Ensure all administrative processes align with Tafelmusik’s donor recognition and financial protocols.
5. Cross-Team Collaboration
- Collaborate with Marketing on strategy, content, timelines, and branding consistency.
- Support the Executive Director and Co-Directors of Development with donor communications, research, and proposal preparation.
- Participate in cross-functional projects to help engage younger, more diverse donor audiences.
Experience and Expertise:
- 3-5 years of experience in fundraising, and knowledge of fundraising concepts, methodologies, and tools.
- Exceptional communication skills — both written and verbal — with attention to tone and audience.
- Excellent interpersonal skills including effective networking, relationship building, and active listening.
- Demonstrated tact, diplomacy, and ability to liaise with and inspire a diverse range of internal and external stakeholders.
- Strong organizational skills, ability to manage multiple projects, timelines, and competing priorities.
- Excellent project management skills, including planning and critical evaluation of an initiative and designing metrics to monitor performance.
- Experience with a CRM database (Tessitura preferred).
- Proficiency in Microsoft Office is essential; in Wordfly, Canva – an asset.
- Attention to detail with a love for both creative and administrative work.

Remuneration and benefits
Salary range $65,000-$75,000 commensurate with experience, plus a competitive benefits and vacation package. Some hybrid work arrangements can be negotiated. The successful candidate will be expected to work some evenings and weekends, including attendance at concerts and special events.
