Position Overview
Reporting to the Manager, Membership & Philanthropy, the Advancement Associate plays a key role in cultivating and stewarding a diverse community of donors, sponsors, and members. The Associate supports thoughtful and personalized recognition for major donors, campaign supporters, members, and partners, and contributes to a best-in-class stewardship program that deepens relationships and clearly demonstrates impact.
The ideal candidate is a collaborative, relationship-focused communicator with strong writing skills and exceptional attention to detail. They are motivated by meaningful donor engagement and are accountable for achieving defined fundraising goals through campaigns, donor engagement, and stewardship activities. They thrive in a cross-functional environment, working with colleagues across departments and partnering closely with the Director, Advancement Group and Manager, Membership & Philanthropy, to deliver communications and recognition initiatives that strengthen engagement and connect supporters to our mission. This role offers the opportunity to develop fundraising expertise within a collaborative Advancement team, working closely with senior leadership to build skills in donor engagement, campaign strategy, and relationship management.
Additional responsibilities include supporting Board & Committee meetings, executing stewardship activities throughout the year, and developing compelling foundation proposals that contribute to overall fundraising success.
Key Responsibilities
Fundraising Campaigns & Pipeline Development:
- Contribute to and execute all annual campaigns, including year-end and quarterly targeted fundraising initiatives.
- Contribute to multi-channel fundraising strategies across email, direct mail, social media, and digital platforms.
- Contribute to the growth of the individual giving program through donor acquisition, retention, and upgrade strategies, while identifying and referring mid-level and major gift prospects to Advancement leadership.
- Monitor results and work with Manager, Membership & Philanthropy to optimize campaigns in real time to maximize revenue and engagement.
- Manage a portfolio of entry-level donors and members, cultivating relationships and identifying opportunities for increased engagement and giving.
Donor Engagement, Stewardship & Recognition:
- Develop and maintain strong relationships with donors and members through regular communication, meetings, and participation in events and venue tours.
- Deliver an integrated stewardship and recognition program across all giving levels, ensuring donors are thanked, recognized, and informed in a timely and meaningful way.
- Develop and coordinate stewardship touchpoints including impact reports, recognition materials, donor communications, events, and engagement opportunities.
- Contribute to the development of tailored recognition strategies for major donors and sponsors.
- Track stewardship activities, deadlines, metrics, and related expenses to inform continuous improvement.
- Collaborate across departments to align messaging and strengthen the donor experience.
- Assist with corporate partnership reporting, renewals, and activation support.
- Collaborate with the Advancement leadership team to create and implement donor and member engagement strategies that increase donor engagement, loyalty, and grow our community of supporters.
- Work closely with Marketing to ensure consistent, donor-centric messaging across all communications.
Board/ Committee Support & Portfolio Management:
- Support Board & Committee meetings, including preparation of materials, follow-up actions, and maintenance of prospect lists.
- Maintain the foundation grants calendar and support proposal development with the Director, Advancement Group.
- Maintain and track engagement within a portfolio of members and donors through regular, personalized communication and stewardship.
- Collaborate with the Development Project & Information Associate to use data and analytics to inform strategy, including donor segmentation, targeting, and campaign performance optimization.
- Prepare regular reports for internal stakeholders and the Advancement Committee.
Qualifications
- 2+ years of experience supporting donor cultivation, stewardship, and fundraising campaigns.
- Post-secondary degree in a related field (such as fundraising, communications, arts administration, or business), or an equivalent combination of education and experience.
- Experience working with multi-channel fundraising campaigns to meet ambitious revenue targets.
- Strong understanding of donor lifecycle, pipeline development, and stewardship best practices.
- Strong written and verbal communication skills, with the ability to assist in preparing donor communications, reports, and proposals.
- A collaborative and relationship-oriented approach, with a demonstrated ability to engage effectively with colleagues, donors, members, and partners.
- Experience supporting stewardship activities and coordinating across teams or departments to support donor engagement efforts.
- Highly organized and detail-focused, with the ability to juggle multiple tasks, meet deadlines, and maintain accuracy.
- Comfortable using Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience working with donor databases such as Tessitura or other CRM systems is considered an asset. Familiarity with or willingness to learn about Canada Revenue Agency charitable giving guidelines and the AFP Donor Bill of Rights.
- Passion for music, the performing arts, and the role of philanthropy in supporting education, artist development, and community engagement.

Work Conditions
- Manual dexterity required to use desktop computer and peripherals.
- Interacts regularly with internal and external industry colleagues by telephone, email, and in-person meetings.
- Comfort working in both office and facility settings, with the ability to conduct walkthroughs across large-scale, multi-level venues.
- Willingness to work occasional evenings and weekends for performances, donor events, and stewardship activities.
- Travel between venues will be required on an ongoing basis.
Additional Information (if applicable): This is a hybrid role based in Toronto with a combination of remote work and on-site presence at Massey Hall, Roy Thomson Hall, and Allied Music Centre. Some evening and weekend availability will be required depending on event schedules.
