About Across Boundaries:
Across Boundaries is a mental health centre that provides a range of mental health and addictions support and services to individuals from racialized and Black communities in the Greater Toronto Area. We have a holistic approach to mental health care and operate within an anti-racism/antioppression and confronting anti-Black racism frameworks. These frameworks focus on providing opportunities to respond to systemic barriers, advocate for the inclusion of traditionally and historically silenced voices at decision-making tables, and strive for change at the individual, organisational and systemic levels.
About the role:
The Administrative Support Worker performs all aspects of administrative work including
Bookkeeping, IT support, secretarial and clerical to support the Admin Team discharge their duties to ensure that services are provided in an effective and efficient manner. Administrative Support Worker works in partnership with and is accountable to the Manager Operations and Administration Manager. Administrative Support Worker works collaboratively with all other staff, volunteers and students in the organization and is expected to provide agreed upon coverage to the office.
This is a confidential non-bargaining unit position.
Normal Hours for full-time employees consist of (8) hours per day, Monday to Friday, and Saturdays on a rotating basis, inclusive of a thirty (30) minutes unpaid lunch break (entitled under the ESA) and an additional two (fifteen (15) minute unpaid rest breaks. Normal hours of work will generally be scheduled between 8:00 am and 8:00 pm. Employees may be requested, but not required, to work some Sundays.
RESPONSIBILITIES:
- Provide technical and administrative support in computer maintenance and the network system and, database, application installation and working closely with the external IT team.
- Experience in bookkeeping and knowledge of account receivables.
- Remains the focal point of all IT supply, maintenance and support requests and coordinates with other team members to ensure the support has been provided.
- Acts as the first point of contact for staff, service user and other guests along with all incoming phone calls, emails and fax and shares the shift at the front desk
- Supports maintaining and managing the calendar of executive director and help support organization of various agency events online as required.
- Assists in preparation and arranging of meetings and telephone conference calls.
- Supports all stuff with maintaining and operations of office equipment including printer, copier, devices and mail.
- Supports the administration department with creating simple office forms and ensuring implementation time-in time-out processes.
- Maintains an inventory of office supplies
- Respond to e-mail requests as appropriate
- Prepare for distribution, correspondence, proposals, briefs, flyers, newsletters and other materials at Across Boundaries
- Respond to requests from staff on administrative issues
- Maintain an organized reception area to ensure a clean and uncluttered workplace
- Provide overall administrative support and assistance to the overall day-to-day running of the office
- Work in collaboration with the Finance/Office Manager in tasks assigned as required
QUALIFICATIONS:
- Diploma in IT or information management preferred.
- Experience in working as a bookkeeper preferred and knowledge of accounting receivable is required.
- Technological know how including zoom, outlook, MS office, IT troubleshooting required.
- Minimum two (2) years in a customer service and/or administrative role in a Not-for-Profit environment preferred.
- Excellent interpersonal, written communication and customer service skills.
- Working both independently and cooperative as part of a team.
- Strong organizational and multi-tasking abilities with high attention to detail
- Easily adapting to changing priorities (flexibility is essential)
- Open and friendly disposition
Salary Range: $47 000.00 - 50,000 per annum
