
Administrative Support Specialist
The Peel Adult Learning Centre (PALC) is a non-profit community organization in the Region of Peel. We serve a diverse group of individuals from our community, no matter their human identity or experience. We have been successfully delivering academic upgrading programs for over 30 years.
The Role
We have a vacancy for an Administrative Support Specialist to join our team, working from our Brampton and Mississauga offices. The Administrative Support Specialist reports to the Program Manager, and provides administrative support to PALC instructors, management, and our overall office environments in Brampton and Mississauga, while also providing customer service support to our clients.

Responsibilities
Information and Referral
- gain required information on the phone or in person for client assessment and referral purposes, including screening clients for program suitability and schedule individualized assessment appointments
- refer clients/students to correct staff member when answering queries and talking to students on site
- refer clients to alternate programs, based on program suitability and client needs
- connect with community providers and keep updated information about community services and programs
Telephone Management
- answer phones and emails in a professional and clear manner, and in accordance with the Centre’s Customer Service Charter
- direct calls and distribute messages efficiently
- record students’ absences on-line
Office Support
- greet clients and visitors to the Centre
- input information into Employment Ontario’s Case Management System (CaMS)
- prepare month end statistical data as required
- conduct follow-ups with learners who have left PALC and track outcomes
- assist with event planning as needed
- order office supplies and teaching materials approved by Program Manager
- maintain and organize learner files, account payable record, and archiving year-end activities
- troubleshoot photocopier, and computers in lab
- organize and disburse Training Supports to students as approved by Program Manager
- assists with the administration of client assessments
Also,
- understand and implement the Centre’s Confidentiality and Privacy Policies while performing any task assigned
- Other related duties as required.
Qualifications
- minimum 1 year of related experience in an administrative support role is required
- previous experience working in a community-based services environment strongly preferred
- minimum high-school diploma or equivalent education required; achievement of a related post-secondary diploma strongly preferred
- strong command of the English language is required, including high proficiency with reading, writing, speaking and listening in English
- excellent computer skills required, including strong aptitude with various data management systems (familiarity with the CaMS system is an asset) and comprehensive knowledge of Microsoft Office applications including Excel and Word
- a valid G class drivers’ license is required, as this role requires local work-related travel within Peel Region. Minimum 1 million dollar liability insurance coverage is required
- daily access to a reliable personal vehicle is required for limited local travel
