Job Title: Administrative Lead
Salary: $25, 000 - $28, 000
Hours: 25 – 30 hours/week. Hours are flexible and most of the work will be done virtually.
Duration: Permanent (Part-Time)
Position Overview
The Administrative Lead will primarily support the General Manager and the Registrar in the daily management of the club.
The successful Administrative Lead is an energetic professional who can manage multiple files. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges found in a community-based, not-for-profit organization.
Key Responsibilities
Under the direction of the General Manager the Administrative Lead will
- Monitor phone line and emails
- Assist Registrar with scheduling and management of field contracts and team schedules
- Assist in managing the club’s registration system
- Assist in managing basic financial accounting and management
- Maintain files and records
- Assist in the coordination or administration of club events such as tournaments
- Create social media posts
- Manage social media accounts
- Assist with the management of gym rentals, field assignments and dome rentals
- Coordinating / leading manager meetings with league management information
- Assist program leads with messaging, scheduling, posting events
- Assist program leads in generating / exporting data from registration software
- Performing data audits. Review / edit documents sent to members
- Other duties as required by the General Manager
Qualifications, Knowledge, Skills
- Experience as an Administrative Assistant
- Project management skills and experience required
- Proficiency in MS Office 365 (MS Excel, MS Outlook, Sharepoint and Planner in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Experience with Canva and content creation
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Knowledge of not-for-profit sector an asset
- Experience managing invoices and payroll an asset
- Event planning experience an asset
- Public relations and communications experience an asset
- French language proficiency an asset
