The Administrative Director is responsible for the successful delivery of programs and services at the League, as well as ensuring day-to-day operations function smoothly and on schedule. Reporting to the Executive Director and the Board of Directors, the Administrative Director develops workflows and timelines for all core programming, supervises the planning and delivery of League programs and services, prepares and analyzes program reports and data, and manages the administration and organization of internal and external systems.

The League team comprises two full-time staff and one part-time staff member. As part of a small team, the Administrative Director is responsible for a combination of high-level strategic work as well as operational day-to-day responsibilities.

The successful candidate will be based in the GTA or Golden Horseshoe area with willingness to travel to Toronto 1-2 times per month.

Project management, administration, and co-ordination

  • Administration and co-ordination of all programs and services offered by the League (20+ programs and services)
  • Lead regular program review and evaluation
  • Facilitate the smooth functioning of the activities of the League, ensuring effective use of resources
  • Manage membership applications, renewals, and inquiries
  • Develop and monitor program and service workflows, timelines, and deadlines
  • Prepare comprehensive reports on programs, services, and other activities for BOD, funders, and annual report
  • Prepare and monitor comprehensive launch strategies, workflows, timelines, and budgets for pilot programs

Systems and technology

  • Manage and update systems and processes for registrations, sales, donations, and submissions for all necessary programs and services
  • Identify and resolve system issues using Wild Apricot, Airtable, Jotform, Zoom, Microsoft 365, and Google Workspace

Finance

  • With the Executive Director, ensure financial accounting processes are up-to-date and followed by all team members
  • Manage a range of payable expenses, including subscriptions, freelance payments, and honorarium payments
  • Manage the budgeting and disbursal of program budgets as set with the Executive Director
  • Support Executive Director during annual audit process

Governance

  • With the support of League staff, prepare quarterly reports on strategic objectives, programs and services, communications, and membership for the Board of Directors
  • With the Executive Director and/or Executive Assistant:
  • Organize the online Annual General Meeting, including the preparation and distribution of relevant materials, with the support of other LCP staff
  • Organize annual training for the Board of Directors as an in-person or hybrid professional development event and orientation
  • Manage and organize Community Committees and quarterly Poets Advisory Committee meetings

Qualifications

  • 3+ years' project management experience in a non-profit and/or arts environment
  • 2+ years' experience leading a team
  • Experience working with relational database systems, Airtable, or similar data management tools
  • Proficiency with Microsoft 365, Zoom, and Google Workspace
  • Experience working directly with a Board of Directors

Compensation

  • $60,000-70,000 annual salary
