We achieve this by providing free music lessons and social enrichment and leadership programs to over 750 students annually in the Regent Park and Jane Finch neighbourhoods, as well as through our partnerships with Kapapamahchakwew-Wandering Spirit School and Turning Point Youth Services. Role Overview
CMST is currently seeking an Administrative Coordinator to provide leadership in the continuation of CMST fulfilling its mission. Reporting to the Program Manager (Regent Park), the Administrative Coordinator (Regent Park) provides administrative support to ensure the efficient operation of the Regent Park office and related activities. This role serves as a key point of contact for students, families, staff, and external stakeholders, supporting the team with day-to-day needs. The Administrative Coordinator plays a vital role in maintaining organization, communication, and operational support across the school community.
Key Responsibilities
- Serve as a primary point of contact for all students and community members entering the Regent Park school location.
- Carry out all applicable administrative and reception duties for the Regent Park location.
- Maintain Regent Park classes, family files, and registration details in the Jackrabbit database
- Welcome & enroll new students, and coordinate student and faculty lesson schedules for the Regent Park location with coordinated support to external programs.
- Process schedule changes in a timely manner
- Support the programming team with event logistics and performance requests initiated by various stakeholders.
- Collaborate with Jane Finch Administrative Coordinator in communication with students and families
- Assist with musical instrument inventory and related administrative needs
- Organize piano moves/removals/donation offers and other item donations as required
- Support the Program Manager with data tracking, school reporting, and other general requests
- Support teachers with administrative requests
- Oversee Regent Park front desk evening and weekend staff, ensuring sound daily operations are achieved.
- Maintain general facility tidiness including offices and studios.
- Health and Safety tasks including inspections, upkeep of related supplies, and ensuring safety/compliance of Front Desk team and families.
- Act as point person for pick-ups/deliveries, arranging these with students, families, and suppliers
- Support the school’s Philanthropy team with various duties as required
- Other duties as required
Qualifications:
- 2+ years of experience in an administrative and support role
- Post-secondary education in a related field is an asset
- Musical background (or a focus on education or social services) is an asset
- Impeccable time management skills, quality and detail orientation
- Warmth, excellent interpersonal skills and superb welcoming skills
- Collaborative team player and independent thinker
- Sympathetic, sensitive, community-minded
- Punctual and consistent
- Software Experience: MS Office, and Database management
- Ability to work at various locations and attend events
- Combination of regular daytime hours and occasional evenings/weekends
- Adheres to the health, safety and protection of all stakeholders, always
Other Requirements
- A vulnerable sector police check is required
- Languages: Fluent in English (written & spoken)
