Family Councils Ontario works with long-term care home residents' families, Family Councils, and home staff across Ontario to enable them to cultivate positive relationships, build effective Family Councils, and improve the long-term care experience. Our mission is to lead and support families in improving quality of life in long-term care. Through collaboration with families, care home staff, and sector partners, we aim to create a safe, vibrant, inclusive, and respected long-term care system.

As a registered charitable nonprofit funded by the Ontario Ministry of Long-Term Care, we support Family Councils through direct consultation, education, training, and resource development. From hosting workshops to producing educational content, we are committed to strengthening the voice of families in long-term care.

To help make this possible, we now seek an Administrative Coordinator (Part-Time).

The Role:

As an Administrative Coordinator, you will support the CEO and the broader FCO team in ensuring the smooth day-to-day operation of the organization. This part-time role is critical in providing administrative coordination, managing internal processes, and supporting governance and event planning.

Key responsibilities include:

  • Providing administrative support to the CEO and staff
  • Entering payroll data and assisting with payroll processes
  • Coordinating logistics for board meetings and liaising with the Board of Directors
  • Assisting in planning and organizing events
  • Managing scheduling, internal communications, and calendar coordination
  • Maintaining digital and physical records and supporting office organization
  • Supporting procurement, formatting, and document preparation
  • Assisting with other duties as required to maintain operational efficiency

Key Qualifications:

The ideal candidate will bring administrative experience and a proactive, detail-oriented approach. A background supporting executive-level staff or nonprofit boards is highly valued. You should be proficient with Microsoft Office, digital collaboration tools, and ideally have experience with payroll systems.

We are looking for someone with strong organizational and time management skills, excellent communication abilities, discretion in handling sensitive information, and a dependable, professional presence. Familiarity with nonprofit governance is an asset.

Position Details:

Salary is: $32,000 annually

Benefits: Participation in the OPTrust Select pension plan (3% matched contributions) is optional. Health and dental benefits.

Typical weekly hours are: 14 hours

Availability: Must be available to work 14 hours within FCO’s standard hours of work: Monday-Thursday 9 AM-5 PM, with e.g., occasional overtime, travel, or evening and weekend commitments.

Our Hiring Process:

Our hiring process typically includes three stages:

  • First-round interview – We’ll share the questions with you in advance, so you have time to prepare.
  • Second-round interview – You’ll present examples of your past work and/or walk us through a scenario we’ll provide ahead of time.
  • Team meet-and-greet – A chance to connect with more of the FCO team to get a sense of culture and fit on both sides.
