
Administrative Coordinator, Jane Finch (Part-Time 17 Hours Per Week)
CMST is currently seeking a Part-Time Administrative Coordinator to provide leadership in the continuation of CMST fulfilling its mission. Reporting to the Program Manager (Jane Finch), the Part-Time Administrative Coordinator (Jane Finch) provides administrative support to ensure the efficient operation of the Jane Finch office and related activities. This role serves as a key point of contact for students, families, staff, and external stakeholders, supporting the team with day-to-day needs. The Administrative Coordinator plays a vital role in maintaining organization, communication, and operational support across the school community.
Key Responsibilities
- Serve as a key point of contact for students and community members during scheduled hours at the Jane Finch school location
- Carry out core administrative and reception duties for the Jane Finch location within allotted weekly hours
- Maintain Jane Finch classes, family files, and registration details in the Jackrabbit database
- Welcome & enroll new students, and coordinate student and faculty lesson schedules for the Jane Finch location with assistance to external programs as capacity allows
- Process schedule changes in a timely manner
- Support the programming team with event logistics and performance requests, focusing on essential tasks
- Collaborate with Regent Park Administrative Coordinator in communication with students and families
- Assist with musical instrument inventory and related administrative needs
- Support the Program Manager with data tracking, school reporting, and other priority requests
- Support teachers with administrative requests
- Provide guidance and support to Jane Finch front desk evening/weekend staff to help maintain smooth daily operations
- Maintain general facility tidiness including offices and studios, as well as exterior space - including snow removal and garbage disposal.
- Health and Safety tasks including inspections, upkeep of related supplies, and ensuring safety/compliance of Front Desk team and families.
- Act as point person for pick-ups/deliveries, arranging these with students, families, and suppliers
- Support the school’s Philanthropy team with various duties as required
- Other duties as required
Qualifications:
- 2+ years of experience in an administrative and support role
- Post-secondary education in a related field is an asset
- Musical background (or a focus on education or social services) is an asset
- Impeccable time management skills, quality and detail orientation
- Warmth, excellent interpersonal skills and superb welcoming skills
- Collaborative team player and independent thinker
- Sympathetic, sensitive, community-minded
- Punctual and consistent
- Software Experience: MS Office, and Database management
- Ability to work at various locations and attend events
- Combination of regular daytime hours and occasional evenings/weekends
- Adheres to the health, safety and protection of all stakeholders, always
Other Requirements
- A vulnerable sector police check is required
- Languages: Fluent in English (written & spoken)
- NOTE: The hours of work are Monday to Friday afternoons.
