JOB DESCRIPTION – ADMINISTRATIVE ASSOCIATE

The Wildseed Centre for Art & Activism is a transfeminist, queer-affirming, disability justice-rooted brick-and-mortar space that serves to nurture radical Black creation. Wildseed was birthed by BLM-Canada artists and activists who recognized the need for enduring space to cultivate the creative grounds of Toronto’s diverse Black communities.

Black Lives Matter-Canada and Wildseed Centre for Art & Activism are both projects of M4BJ, which is a Black-led non-profit, charitable organization.

M4BJ is a community and arts service organization that primarily engages in serving the needs of Black communities. In order to effectively support these communities and provide opportunities for historically marginalized people, candidates who have lived experience will be strongly considered.

M4BJ is seeking to hire two Administrative Associates. The Administrative Associates will report to and be supervised by the Building and Operations Manager.

This work requires:

  • Excellent organizational, office management and communication skills.
  • Working independently with some direction and guidance.
  • Administrative & tracking skills; the ability to keep accurate and detailed records.
  • Comfort working in a fast-paced, highly collaborative work environment.
  • Understanding of and familiarity with Toronto’s Black communities
  • Experience with grant writing is required and excellence in grantsmanship an asset.
  • Multilingualism is an asset.

JOB TYPE: Part-time, 12-month contract with possibility of extension and/or expansion at a mutually-agreed upon time.

CONTRACT START: Friday, July 13, 2026. 90 day probationary period.

LOCATION: This is an in-person position located at the Wildseed Centre for Art & Activism.

KEY RESPONSIBILITIES:

  • Staffing the reception desk
  • Greeting people coming into the Wildseed Centre
  • Maintaining a warm, professional, inviting atmosphere at the Wildseed Centre entry and reception area
  • Directing patrons of the Wildseed Centre to the appropriate contacts and services as required
  • Providing general information to patrons in person, by phone and via email
  • Performing clerical duties
  • Ensuring the Wildseed Centre is stocked with necessary supplies and equipment inventory
  • Assisting with internal communication
  • Scheduling appointments for Wildseed Centre staff and board members and managing calendars for all board and staff for Wildseed-related events and meetings.
  • Organizing and maintaining the general inquiry email inboxes
  • Supporting with board and committee meeting administration, including preparing agendas, taking minutes, maintaining task lists and filing documents
  • Tracking and archiving documents for vendors, artists and other space users, as necessary
  • Supporting data entry as necessary
  • Administering the donor management system
  • Assisting patrons and staff with space booking administration
  • Preparing rooms for scheduled room bookings
  • Supporting grant writing
  • Updating minor website content as required
  • Supporting social media content creation as necessary
  • Other duties as assigned.
