
Administrative Assistant Volunteer
The Canadian Mental Health Association (CMHA), Ontario is committed to improving services and support for individuals living with mental illnesses and addictions issues, and to the promotion of mental health in Ontario.
We are currently seeking an individual to join the CMHA Ontario Team as an Administrative Assistant Volunteer. The Administrative Assistant will provide daily administrative and coordination support to the team.
Job Responsibilities
- Confidentially coordinate time management activities, including, scheduling appointments, and coordinating meetings.
- Provide basic administrative and clerical support, including managing incoming and outgoing mail, courier arrangement, processing invoices, expense claims, and records management.
- Maintain records and diligently support and administer privileged material and information confidentially and with sensitivity.
- Support in the coordination of meetings and stakeholder events.
Administrative and Technical Skills
- You know administrative protocols and procedures to provide support with minimal direction.
- You can use various software programs (word processing, Outlook, SharePoint, spreadsheets, and databases) to produce correspondence, and other documents.
- You have good written communication skills to prepare clear, accurate correspondence, reports, etc.
- You have problem-solving skills to determine how to respond to queries, and how to manage conflicts in the team’s calendar.
Organizational and Prioritization Skills
- You can determine work priorities when facing conflicting demands and deadlines.
- You have good organization skills to manage incoming correspondence and various administrative tasks.
- Well-developed administrative, organizational, and problem-solving skills that enable effective multitasking, prioritization, and time management to meet competing.
Working Conditions
This is a temporary and a casual/on-call volunteer position. The position is based in Toronto, Ontario (180 Dundas Street West, Suite 2301). This position will be responsible for working from the Toronto Office 5 days per week or as scheduled.
This position is also a desk job with extended periods of sitting, reading, telephone/virtual interaction, and working at the computer. This position involves some moderate lifting, shipping, and handling. Attendance at various meetings throughout the workday/workweek will be required; meetings may occur on short notice, depending on the circumstances.
This position is not within the bargaining unit.
As a condition of employment, the successful candidate will be required to maintain and submit proof of full COVID-19 vaccination.
