
Administrative Assistant, Main Office
Greenwood College School is seeking an Administrative Assistant, Main Office. This is an active recruitment for a full-time position beginning in late June, 2026.

Compensation & Terms
This is a full-time, permanent position and the expected salary range is between $60,000-70,000.
Hours of Work:
8:30 - 4:30 p.m. (work hours may change or vary depending on the school’s needs)

Position Summary
The primary objective of this role is to provide administrative and organizational support to the Main Office. The incumbent will function with a high degree of attention to detail, accuracy and prioritization of work in a team setting. While the Administrative Assistant supports individuals, they also share responsibility for supporting the needs of other program areas.
Responsibilities:
- Support the efficient day-to-day functioning of the Main Office
- Act as the first point of contact for triaging requests and inquiries
- Manage the student and staff database system; update records, manually enter data, upload data and export various reports
- Perform manual checks on data to ensure consistency, completeness and accuracy
- Provide administrative support to the Vice-Principal, Student Learning (all aspects of progress reports, execution of final evaluations, data entry for course enrollments, external credit courses, reach-ahead, daily conduct tracking uploads, student review and course selection)
- Provide administrative support to the Guidance Department (production of transcripts, drafting course-in-progress letters and managing student timetable updates)
- Assist with the coordination of major school events which include, but are not limited to: Registration Day, Curriculum Night, Parent-Teacher Conferences and Celebration & Graduation Day
- Manage, maintain and organize filing of all relevant documents of the Ontario Student Record (OSR)
- Update and maintain the school calendar
- Act as the back-up for coordinating teacher coverage requests
- Act as the back-up to Reception by providing daily reception relief during breaks and also as required
- Responsible for monitoring, maintaining and ordering office supplies for the Main Office, Reception and various programs
- Perform administrative duties including photocopying, scanning, mailing and filing
- Perform other duties and special projects as assigned
Qualifications and Skills:
- Related postsecondary training or minimum 5 years experience in office administration
- Advanced knowledge of Microsoft Office and Google applications, as well as strong data entry skills
- Extensive database management experience
- Superior attention to detail and accuracy
- Able to identify and anticipate when tasks need to be initiated, takes initiative to assist if they identify support is needed, is a self-starter and makes task completion a priority
- Excellent organizational and time management skills
- Takes pride in their work
- Able to work independently and self-motivate through projects
- Has a detailed mind that can follow instructions, interpret existing systems, ask clarifying questions when needed, and problem solve to work through ideas and projects
- Able to manage a variety of tasks concurrently and perform well under pressure
- Able to maintain confidentiality and work within protocols and procedures
- Proactive team player, flexible
- Sound judgment and problem-solving skills
- Able to work some overtime and have some flexibility with hours when required
