
Administrative Assistant
About the Role
We're looking for an experienced, dependable Administrative Assistant to join our team on a fixed-term contract from October 1 to December 31, 2026. Reporting to the Executive Director, this is a broad, hands-on support role: you'll provide direct executive support, help coordinate meetings and keep our board and committee work on track, support our office's day-to-day operations, and provide administrative support across our finance, HR, membership, and regulatory functions. You'll collaborate closely with our Operations and Membership teams, our committees, our Board of Directors, and various working groups. It's a great fit for an experienced administrative professional who enjoys variety, thrives on staying organized across multiple priorities, and wants meaningful exposure to how a professional association runs.
This is a three-month contract position ending December 31, 2026. Continuation beyond that date is not guaranteed; however, strong performance may be considered for an extension, subject to a performance review and approval.
About ARIDO
The Association of Registered Interior Designers of Ontario (ARIDO) is the professional self-regulatory body representing Registered Interior Designers across the province. We support our members through professional development, advocacy, and community programming, while overseeing the regulatory standards that protect the public and the profession. Our small, close-knit team works out of our head office in Toronto and collaborates closely with a volunteer Board of Directors and an active network of committees.
What You'll Do
- Provide direct administrative support to the Executive Director, and collaborate closely with the Operations team, Membership team, committees, Board of Directors, and various working groups across the organization.
- Coordinate scheduling, agendas, minutes, and action-item follow-up for a wide range of recurring meetings — including our weekly all-staff meeting, and our monthly Board and Executive Committee, community, general committee, and subcommittee meetings — keeping governance and team work on track.
- Support our finance and contract administration, including processing invoices, and helping prepare, track, and route vendor agreements and contracts.
- Support HR administration, including coordinating new-hire onboarding and helping organize staff training sessions.
- Support our membership and regulatory teams with administrative tasks such as processing renewals, tracking compliance records, and organizing files.
- Help manage our physical office and day-to-day operations — supplies, equipment, vendor coordination (e.g., cleaning, maintenance, courier), general inquiries, and mail/courier handling.
- Provide general administrative and event support as needed.
What We're Looking For
- 5+ years of administrative or coordinator experience, ideally supporting senior leadership, boards, or committees.
- Strong written communication skills and comfort taking detailed meeting notes.
- Excellent organizational skills, with the ability to manage multiple priorities and follow up independently.
- Familiarity with invoicing or accounts-payable processes is an asset.
- Advanced experience with Microsoft 365 (Copilot, Outlook, Teams, SharePoint, Word, Excel).
- A discreet, professional approach to handling confidential information.
- Experience with a not-for-profit, association, or regulatory organization is an asset, but not required.
- Naturally detail-oriented and process-driven — you notice what's been missed, close loops without being asked, and bring structure to fast-moving, high-context environments.
- A strong complement to a fast-paced, big-picture leadership style — you're energized by translating ideas and priorities into concrete plans, trackers, and follow-through.
- You see connections across tasks and teams, and actively look for ways to streamline, combine, or simplify overlapping work rather than treating each request in isolation.
- Comfortable holding structure for someone else's day — proactively organizing, prioritizing, and following up so nothing falls through the cracks.
Details
- Term: Fixed-term contract, full-time, October 1 – December 31, 2026, with possible extension subject to performance review and Board approval.
- Reports to: Executive Director.
- Location: In-office at ARIDO's head office, 43 Hanna Avenue, Toronto, ON.
- Compensation: $50,000–$70,000 annualized (approx. $12,700–$17,547 for the 3-month contract term), commensurate with experience (paid pro-rated over the 3-month contract term).
