Administrative Assistant

Nurse Reach Ontario Long-Term Care Initiative CARE Centre for Internationally Educated Nurses (IENs)

JOB PURPOSE

This project will see 100 internationally educated nurses residing in major urban centres across Ontario to secure employment and successfully relocate to rural and northern communities where healthcare employers face persistent nursing shortages. The project will provide recruitment, employment matching, relocation supports, community integration services, and retention assistance through a partnership between CARE Centre and Blue Branch Inc.

The Administrative Assistant provides comprehensive administrative and operational support ensuring the efficient delivery of the Nurse Reach Ontario Long-Term Care Initiative. The role supports the project activities by managing administrative processes, coordinating communications and logistics, scheduling meetings and events, maintaining participant records, and supporting project staff, partners, employers, and participants throughout the project lifecycle.

JOB ACCOUNTABILITIES AND RESPONSIBILITIES

Key Responsibilities

  • Administrative Coordination Provide day-to-day administrative support to project staff and project partners.
  • Assist with scheduling, coordinating and documenting meetings and consultations with partners, employers and stakeholder
  • Prepare meeting materials, agendas, minutes, correspondence, administrative tracking tools and project documents.
  • Organize project files and maintain electronic and hard-copy records in accordance with funding requirements and organizational policies.
  • Support the Project Coordinator and Data Analyst with tracking project milestones, participant information, and administrative deliverables using approved digital platforms.

Participant Support

  • Assist with participant intake, registration, and onboarding processes.
  • Maintain confidential participant records and documentation.
  • Coordinate participant communications regarding workshops, employment placements, relocation supports, and project activities
  • Respond to inquiries and direct participants to appropriate project staff and resources.

Event and Logistics Support

  • Assist in coordinating recruitment events, employer information sessions, training workshops, and community engagement activities.
  • Support travel, accommodation, and meeting logistics as required.
  • Coordinate distribution of project materials and resources.

Financial and Reporting Support

  • Assist with tracking project expenditures and maintaining administrative records.
  • Process invoices, purchase requests, and expense claims.
  • Support preparation of reports, presentations, and funder documentation.

QUALIFICATIONS

  • Diploma or certificate in Office Administration, Business Administration, or a related field.
  • Minimum two years of administrative experience.
  • Experience supporting employment, community development, healthcare, or newcomer serving programs is an asset.
  • Proficiency in Microsoft Office Suite and digital database platform (Word, Excel, Outlook, Power point.
  • Excellent organizational and communication skills.
  • Computer proficiency, including and good knowledge of Microsoft Office suite of products, functions or social media and AI.

PHYSICAL DEMANDS

  • Light, with infrequent medium physical demands for lifting, pushing, pulling.
  • Manual dexterity required to use computer and office equipment.

WORKING CONDITIONS

  • Flexibility within program operating hours.
  • Possible travel to other locations in Ontario, travel to conferences and meetings.

SALARY RANGE

$40,000 to $45,000
