Position Overview

The BC Health Coalition is looking for an experienced Administrative Assistant to support a vibrant and effective coalition of over 800,000 members working to strengthen public health care in B.C. The Administrative Assistant reports to the Executive Director of the organization, and is responsible for answering and originating general correspondence, maintaining administrative records, maintaining the membership database, updating the website, supporting the development of communications materials, and scheduling and recording minutes of meetings.

Financial responsibilities include maintaining financial accounts, performing banking activities, and working with the Coalition’s bookkeeper to maintain the general ledger of the Coalition.

The ideal candidate will have general knowledge of non-profit organization recordkeeping, will have worked in a coalition and/or union environment, and understands health care issues in BC.

Duties and Responsibilities

  • Assist with social media posting and account maintenance.
  • Assist in the preparation of and supports the delivery of the Annual General Meeting of the Coalition.
  • Coordinate organizational systems that allow staff to meet and collaborate using various platforms.
  • Coordinate and provide administrative, scheduling and other support to Coalition meetings such as recording minutes, circulating materials and other duties as needed.
  • Maintain financial accounts and banking activities, including working with the bookkeeper on maintaining the general ledger of accounts and other records of operations as required.
  • Answer and originate phone, written and email correspondence, as required.
  • Manage and maintain the Coalition’s online presence and software including website, Nation Builder database, and online campaign platforms.
  • Support the development and design of communication materials such as fact sheets, graphics, posters, flyers, emails and social media posts to support the campaigns.
  • Other duties as assigned.

Qualifications

  • Experience with non-profit organization records maintenance.
  • Experience with E-campaigns and the use of effective social media.
  • Experience with using QuickBooks and performing basic financial transactions such as payroll.
  • Proficient keyboarding skills.
  • Intermediate to expert skill and experience with the MS Office suite including Word, Outlook and Excel.
  • Ability to communicate and collaborate in a respectful and cooperative manner with the public, Coalition members, and staff.
  • Excellent written and verbal communication skills.
  • Excellent teamwork skills and ability to be self-directed and self-motivated when leading projects independently.
  • Demonstrated experience or ability to learn use of online platforms such as Dropbox, Google, Canva, Nation Builder, Zoom, etc.
  • Knowledge of public health care issues.
  • Demonstrated understanding of principles and practices of Equity, Diversity and Inclusion.
  • Ideally, candidate will have experience in a coalition, non-profit, or union environment.
