POSITION: Administrative Assistant

LOCATION: Remote

REPORTS TO: Executive Director; Managing Director

TIME COMMITMENT: 7-10 hours/week

ABOUT US:

The Community Climate Council (CCC) is based in Peel Region, Ontario, led by a committed

team of environmental advocate volunteers who are driven by the urgency of the climate crisis.

Founded with the vision of creating a platform for local voices to demand action, our work is

rooted in community-led solutions. We approach every project with a focus on collaboration,

and equity, ensuring that our efforts are both community-centered and solution-driven.

ROLE DESCRIPTION:

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to

provide essential administrative support to our Executive Director and Managing Director. In

this role, you will manage calendars, schedule meetings, handle correspondence, prepare

reports, and assist with internal and external communications, ensuring smooth and efficient

daily operations. You will play a key role in organizing events and contribute to the Annual

Report. This position offers the opportunity to work closely with senior leaders, streamline

processes, improve organizational efficiency, and gain valuable experience in executive-level

support, strategic decision-making, and problem-solving.

KEY RESPONSIBILITIES:

• Executive Support ○ Assist the Executive Director and Managing Director with administrative tasks

which may include: scheduling meetings, managing emails, letter writing,

completing forms, following up with volunteers, etc.

○ Work closely with the Managing Director to compile reports on performance metrics, operating plans, and other internal documents.

○ Revise and edit internal documents to support the Executive Director and Managing Director.

○ Tailor external-facing presentations for speaking engagements. ○ Organize and manage virtual events such as in-person events and virtual

meetings.

• Strategic Support

○ Assist in reviewing, providing input on, and gathering metrics for the Annual Report.

○ Proactively make recommendations on how to improve operational processes and procedures.

○ Take meeting notes and occasionally attend external meetings on behalf of the Executive Director or Managing Director.

QUALIFICATIONS:

• Skills and Experience: ○ An aptitude to see things through and complete tasks in a timely manner ○ Strong communication skills, with the ability to maintain effective interactions

with team members and community partners.

○ Proven experience in administrative roles, with an ability to manage multiple tasks efficiently.

○ Experience with long-term strategic planning for a non-profit organization is an asset.

○ Ability to balance competing priorities and meet tight deadlines, while maintaining attention to detail.

○ Familiarity with GSuite, Outlook, Asana, and Slack. ○ Experience handling confidential information and communicating complex ideas

in a clear, accessible manner.

○ Prior experience with event planning and organizational support is a plus.

○ Action-oriented, with the ability to execute tasks efficiently and with minimal supervision.

information with discretion.

○ Passionate about community empowerment, climate action, and creating positive change.
